Position Overview


The Receptionist/Office Administrator reports to the Director of Human Resources & Administration and is responsible for overseeing all administrative support and reception duties for the organization.

This includes coordinating and communicating office activities, reception duties, handling incoming and outgoing mail, contract coordination, supplies and stationery, health and safety regulations, and general troubleshooting.

Other responsibilities will include assisting with employee communications and employee events. Additionally, coordinating volunteer activities and people in collaboration with our Volunteer Coordinators. Other duties may be assigned as necessary.


General Office Duties

  • Assist in all office/building administration functions, vendor relationships, liaison to building contractors, and oversees office operating procedures
  • Reception duties, greeting incoming and outgoing clients and visitors and assisting with queries. Ensuring the reception and wider areas are organized, clean and maintained throughout the day and addressing any Health & Safety concerns
  • Order office supplies and services, including restocking supplies
  • Coordinating meetings, to include setting up meeting rooms and invites as needed
  • Liaise closely with Facility team to ensure coordination of activities to maintain office and outside areas as needed
  • Maintain/troubleshoot office equipment and assist with network administration and IT related concerns as needed
  • Follow the organization's Health & Safety Program, including assisting with OHS matters as needed
  • Assist in the planning of Staff Christmas party, staff retreats and other staff gatherings, AGM
  • Assist the Volunteer Coordinator with the correspondence and coordination of volunteers on site and at events as needed
  • Handling miscellaneous data entry
  • Identifies and implements best practices within all areas of activities to improve accuracy and efficiency
  • Contribute to team effort through timely and accurate completion of tasks and assigned projects
  • Add value to department and organization by seeking out additional tasks or participating in projects when the opportunity is available

Other

  • Complies with CPAA policies and procedures
  • Perform additional duties as assigned by the Director of Human Resources & Administration
  • Exceptional communication skills; inperson and over the phone
  • Confident, gracious and friendly demeanor dealing with clients and members of the public
  • Ability to work with multiple people at all levels in the organization
  • Intermediate proficiency with MS Word, Excel, Outlook and platforms, such as Zoom and Teams
  • Comfortable with a wide range of office equipment including, computers/laptops, printers, phones
  • Excellent organizational skills and attention to detail
  • Experience operating a multiline phone system would be wellregarded
  • Selfmotivated and able to work well independently
  • Able to manage multiple competing priorities while maintaining a professional composure

Qualifications:


  • A current certificate or diploma in Business Administration preferred
  • 2+ years of related experience working in an administrative environment
  • 1+ years of related experience working in a receptionist role
  • Non Profit experience would be preferred, but not required

Employment Type:


  • Part
  • Time temporary 6month contract with the possibility to extend

Work Hours:


  • 9:302:00 pm Monday Friday
  • Occasional work may be required outside of the regular working hours/days

Work Conditions:


  • Manual dexterity required to use desktop computer and peripherals
  • Flexibility required to standard working week (Evenings/Weekends on occasions)
  • Intermittent physical activity including walking, standing, sitting and lifting
