Headwater Learning Foundation (HLF) is the fundraising arm and supporting partner of both CA and HLS, HLF provides the resources necessary to unleash possibilities in learning innovation and fundraising initiatives.


Headwater Learning Solutions (HLS) is a community consulting arm that empowers learner achievement by delivering customized education solutions through partnerships and an interdisciplinary network of specialists.

These three entities are known as the Headwater Learning Group (HLG).


About the Role

  • As a Philanthropy Assistant, you will be responsible for supporting the administrative responsibilities of the Philanthropy Team, to enhance the philanthropic activity of Headwater Learning Foundation (HLF) through the Annual and Capital Campaigns. This position is a Term contract starting immediately and going through till June 2024. This role reports directly to the Director of Philanthropy.


HLF currently plans and implements an Annual Fund campaign with an audience of parents, grandparents, alumni, staff, service clubs, foundations and corporations.

Currently, HLF is also engaged in a $5,000,000+ Capital Campaign to raise funds for a new Southwest Addition, which will house 5 new classrooms, a science lab and an Innovation Hub.

The Southwest Addition is the first phase of a multi-phase Campus Master Plan.

Salary RangeHighlights of Key Responsibilities**- Database Management:
  • Administer database management systems, including Raiser's Edge NXT, Finalsite, and PowerSchool, to support the Philanthropy team's initiatives.
  • Conduct research to identify and gather contact information, relationship trees, and philanthropic and career details for current parents, grandparents, alumni, and their families.
  • Execute database queries, generating counts and reports as required for effective decisionmaking.
  • Organize and manage foundation, corporation, individual donor, sponsor and prospective donor files.

Annual

and Capital Campaign Support:


  • Monitor the Philanthropy internal mailbox, ensuring timely delivery of mailed and internal correspondence to respective recipients.
  • Collaborate with the Finance and Philanthropy Teams to ensure prompt and accurate collection and processing of donations, along with acknowledging and thanking donors in a timely manner.
  • Issue charitable donation receipts through Raiser's Edge NXT.
  • Coordinate mass mailouts including pulling lists, printing labels and stuffing envelopes.
  • Attend and record minutes, action items, and meeting summaries for all Capital Campaign Cabinet meetings.
  • Collaborate with the Director of Philanthropy to deliver weekly updates to the Cabinet, covering ongoing items from the standing agenda, such as outgoing calls, upcoming events, campaign financial progress, new prospects, and committee member recruitment.
  • Maintain accurate records of the Cabinet's interactions with community members, donors and stakeholders, including daily/weekly updates of Cabinet Call Logs.
  • Assist in the planning, preparation, setup, and takedown of cultivation and recognition events. This includes compiling guest lists, preparing registration materials, such as name tags, and other assigned duties. Occasional evening work required.
  • Assist in preparing research and briefing notes for donor meetings to ensure the team has accurate information to foster strong donor relationships.
  • Research and identify corporate matching programs to promote to the parent community Campaign Cabinet and prospective donors.

Qualifications

  • One to three years' experience in an administrative, data management or related position.
  • Completion of high school or equivalent education with completion of position relevant program, courses, certificate, and/or diploma.
