Description
The Granite Club is looking for a Finance Coordinator to join our Finance team. This unique position reports to the CFO but covers two areas within the Finance team.

It provides administrative support to the CFO and Controller at the Granite Club as well as acts as a part time Accounts Receivable Representative.

Time allocated to each role is expected to be 50/50.

Primary Responsibilities

Accounts Receivable Representative Duties (Team of 3.5)

Daily Tasks

  • Prepare letters and document collection correspondences on Member's accounts.
  • Process credit card payments received from Events and maintain credit card forms for upcoming events/reciprocal guests.
  • Daily collection and filing of chits and cash payments dropped in locked boxes.
  • Balance daily cash out reports from parking, food & beverage, and other outlets. Follow up with Managers when chits/cash are missing and ensure all cash clearing accounts are balanced.
  • Daily closing of debit transactions at the main counter.
  • Review Member accounts with credit balance and prepare requests for refund cheques.
  • Scan AR documents.
  • Prepare monthly statements for mailing.
Weekly/Monthly

  • Weekly update of the account's website.
  • Followup on delinquent accounts.
  • Manage suspended Member posted list and prepare report for Governance Committee meeting.
  • Followup on unposted transactions.
Ad hoc

  • Assist in the annual Member upgrade process.
  • Create new accounts for staff and contractors.
  • Create special statements.
Administrative Coordinator Duties

  • Administrator of Concur, our Travel Reimbursement software system: set up new employees, new GL accounts and approvers, as needed
  • Liaise with Bank for any documents required in setting up access for new employees
  • Manage information requests by the CFO and Controller
  • Assist in the preparation of routine financial report packages and other related information.
  • Attends two Board Committee meetings as requested, assist with minute taking.
  • Liaises with Department Managers/Leaders as needed to assist with the CFO's work and project flow.
  • Coordinate pension invoice approvals.
  • Assist with preparation of material for Board and Committee packages as needed.
  • Responsible for ordering office supplies as needed.
  • Scanning and filing administrative documents, contracts.
  • Handling incoming and outgoing mail.
  • Other tasks as may be requested from time to time.
Required Qualifications

  • Minimum of postsecondary education (preferable in Accounting/Business Administration/Finance).
  • Strong Microsoft Office (Word, Excel, and PowerPoint) knowledge and a proficiency in general accounting knowledge.
  • Basic accounting skills and accounts receivable experience an asset
  • Superior knowledge of the written and oral English language, superior knowledge of grammar and spelling.
  • Strong analytical and problemsolving skills.
  • Excellent communication skills, verbal and written.
  • Strong organizational and interpersonal skills; ability to deal with a crosssection of internal and external customers in an efficient, timely and congenial manner.
  • Responsible with integrity and ability to maintain confidentiality.
  • Selfstarter with strong initiative and positive enthusiasm
  • Ability to prioritize and effectively execute tasks is crucial.
