Duties and Responsibilities:


The Administrative Assistant, reporting to the Departmental Administrator, is an important position in Campus Safety Services (CSS) as it serves a number of functions.

One of the key duties of this position is to serve as the front line to the main office and shared services counter, and thus the incumbent must demonstrate superior customer service skills.

This position will also handle administrative duties in the front office as directed by the Departmental Administrator.

At times s/he will be required to act in place of the Departmental Administrator handling the Director's administrative duties and therefore tact, diplomacy, confidentiality and good judgment are essential.


Qualifications:


The incumbent must possess the following qualifications:

  • Superior customer service skills
  • Ability to represent the University and CSS in a professional and knowledgeable manner
  • Excellent organizational, time management, and administrative skills
  • Strong interpersonal skills
  • Skill in assessing client needs; requires the ability to ask a variety of questions to determine the real need of that individual
  • Excellent oral and written communication skills
  • Knowledge on using a cash register and debit/credit transaction machine.
  • Knowledge of search engines and web search techniques
  • Ability to adapt to a changing electronic environment
  • Ability to independently respond to queries and resolve problems
  • Thorough knowledge of secretarial, administrative and office procedures
  • Excellent records management and good accounting skills
  • Ability to meet strict deadlines with mínimal supervision
  • Ability to act with discretion, tact and diplomacy when dealing with students, faculty, staff and the public and sensitive information of the CSS.

Education and Experience:


The above is normally acquired through the:

  • The completion of secondary school and graduation from a minimum two-year business training program (or the equivalent).
  • Five years of related experience, in a customerfocused administrative area.
