Unit/Project Description:


Science Career and Cooperative Education (SCCE) has a vision to see every McMaster Science student reach their career potential and have a meaningful impact on the world.

We approach this challenge from a stakeholder-informed perspective and the core values of equity, diversity, inclusion, and Indigeneity (EDII).

We develop and support the career aspirations of over 8000 undergraduate students and 800 graduate students, representing the largest Faculty in one of the world's top universities.


Keeping pace with the rapid changes in our environment, we're embarking on a transformational two-year project called Advancing Tomorrow's Science Careers.

Over the next two years we are developing a Science Career Competency Framework and curriculum and building a Design Your Science Career program, based on Stanford University's inordinately successful, Design Your Life model.

We are seeking a Project Coordinator to take a key role in shaping this innovative work.

Job Summary:

Responsible for providing leadership, oversight, coordination and technical expertise for projects related to the program.


Purpose and Key Functions:


  • Collaborate in the strategic planning for education initiatives and related projects for the department.
  • Lead projects by actively engaging all stakeholders, leadership, and support staff to ensure projects move forward and meet critical landmarks.
  • Engage resources to ensure that all projects are completed in the timelines specified.
  • Work with Team Leader to ensure that labour resources are available and trained accordingly.
  • Provide leadership and coordinate the work of support staff assisting in the completion of projects.
  • Provide estimates of time and resources to management for project completion.
  • Contribute to the development of project budgets for review and approval.
  • Implement and maintain project budgets. Create financial projections and make adjustments to project budgets throughout the year.
  • Exercise appropriate controls, monitor, and reconcile accounts. Monitor project budget. Report to manager for decision making any discrepancies and recommendations.
  • Complete regular reports on projects status to all stakeholders, leadership and support staff and ensure the project scope and project parameters are clear.
  • Implement departmentwide program and software changes, electronic modules and program surveys.
  • Participate in the maintenance, evaluation and continuous updating of projects including but not limited to electronic modules, curriculum updates and databases.
  • Create content and provide technical leadership for computerized initiatives.
  • Ensure the data storage for all education drives is organized and archived efficiently.
  • Create content, approve web layouts and ensure websites and social networks are regularly updated and maintained.
  • Facilitate various meetings and chair committees.
  • Respond to inquiries that are specific in nature and require a thorough knowledge of established policies and procedures.
  • Write a variety of documents such as correspondence, reports and memos.

Supervision:


  • Provide lead hand supervision and is responsible for the quality and quantity of work of others.

Requirements:


  • Bachelor's degree in Business Administration, Education, Science, Communications, or related field of study.
  • Requires 4 years of relevant experience.

Assets:


  • Project management experience and/or qualifications are strong assets.
  • Experience working in higher education, and specifically within cooperative education and/or career services is a strong asset.
  • Marketing and event organization experience is an asset.
  • Demonstrated expertise in relationship development with a high degree of diplomacy.
  • Able to manage timelines, communications, critical paths, resources and project organization overall to ensure requirements and deliverables are clearly communicated and executed.
  • Strong interpersonal, verbal and written communication and presentation skills
  • Able to synthesize and customize information for applicable audiences.
  • Strong skills in collaboration and respect to diverse backgrounds, experiences, and styles of work.
  • Able to work on multiple projects simultaneously, prioritize content, and manage time effectively
