Reporting in to various project work streams, Project Assistants (PA) will support a variety of project related assignments including technical, clinical, training, go-live and other key enabling activities.

Working in a matrix setting, PA's will manage daily activities of the project office or assigned work stream, providing administrative and project support to all team members.

Working in a team-based environment that is mission-driven, results-focused, and customer oriented, the incumbent will support the HIS implementation from conception to completion, in addition to performing a variety of project and administrative tasks.

The incumbent should be comfortable supporting technology and may have responsibility for training and/or supporting staff and physicians directly.

You are comfortable with working independently under mínimal supervision and with making decisions that support the mission, vision and core values of Niagara Health.

Additional daily activities and multi-site travel may be required. The incumbent may be required to support activities outside of regular business hours.

PROJECT RESPONSIBILITIES:


  • Assist in and independently plan, coordinate and implement projects of low to medium complexity
Manage stakeholder expectations and establish and maintain a consultative relationship with internal and external clients
Assist with preparation of project communications, power point presentations, and periodic reporting requirements


ADMINISTRATIVE RESPONSIBILITIES:


  • Serve as a liaison to the management team, organizing and coordinating organizational wide efforts Other duties as assigned
  • Prepare meeting agendas, minutes, presentations, communications, and training materials
  • Organize meetings, conferences, special events, and travel
  • Coordinate, review, and recommend signoff of incoming invoices
  • Other administrative duties as assigned

QUALIFICATIONS:


  • 3 years of administrative, project coordination, business process/analysis, and data analysis experience or equivalent, ideally in a healthcare setting
  • Community College diploma specializing in Office Administration or equivalent. Postsecondary education in a computer technology or healthcare related field or equivalent in related experience
  • Good knowledge of project management best practice methodologies (project planning, implementation, evaluation, risk assessment, benefits realization)
  • Demonstrated ability to handle a large and diversified workload with often rapidly changing priorities and challenging deadlines is essential
  • Ability to work effectively within a multidisciplinary team
  • Flexible, selfdirected and able to work effectively with mínimal supervision
  • Experience in conducting workflow analysis, value stream mapping, data mapping, and Plan-DoStudy-Act cycles an asset
Excellent written, verbal, interpersonal communication and organizational skills

  • Excellent interpersonal and client relationship skills, with the ability to communicate effectively
  • Advanced skill level required for MS Word, Excel, Power Point, and Outlook
  • Ability to work in a fast paced environment, prioritize activities, and exercise attention to detail
  • Ability to work independently and as a team player
  • Proficiency in both official languages (English & French) will be considered an asset.
  • Consistent and regular attendance required.
