Employment Program Coordinator


Hours:37.5 Hours - Full Time - must willing to work a flexible schedule.


Reporting Line:
Reports directly to the Employment Program Manager.


General Summary and Competencies:

The Program Coordinator is responsible for the overall supervision and administration of the Group-Based Employment Skills (GBES) of the program including project management, planning, organizing, leading, growing, and risk management of program activities.

The Coordinator is responsible for ensuring all YWCA procedures, policies are followed, and ensuring any staff or volunteers they may supervise are in compliance with these procedures and policies in addition to effective leadership and management.

The Coordinator contributes to the advancement and achievement of the YWCA mission, vision, values, guiding principles, strategic plan, business plan, and departmental plan.


Qualifications and Experience:

Undergraduate degree in related field or equivalent experience, understanding of program coordination, planning and evaluation in an outcome based framework, as well as an understanding of trauma-informed practice.

Strong administrative skills, strong financial management skills, organizational development and advocacy skills and an ability to work independently and in a team environment.

Effective interpersonal, supervisory and organizational skills, high level of computer literacy, ability to maintain collaborative partnerships, internal and external to the organization, knowledge and interest in community development strategies from a feminist theoretical perspective.

Ability to train, supervise, and motivate volunteers and participants.

Experience in group facilitation and conflict resolution are essential, as well as knowledge of labour market trends, job development techniques, and employment support strategies.


Essential Duties of the Position

  • Employee performs duties within established vision, mission, policy guidelines, goals and objectives, and has primary responsibility for delivery of various areas of work.

Program Management

  • Responsible for developing work plans for achieving goals/objectives/outcomes, and reporting on results in relation to work plans.
  • Responsible for tracking results of outcomes/outputs, and course correcting as required ensuring achievement of goals/objectives
  • Ensures that program activities operate within the polices and procedures of the YWCA, and ensures the development and implementation of appropriate operational/program procedures for designated projects and programs for approval by Manager
  • Ensures high quality delivery of digital and inperson programming, and implements a regular and robust program evaluation (meeting both funder and overall organizational needs) to assess the strengths of the program and to identify and assess areas for improvement
  • Ensures that program activities comply with all relevant legislation and insurance coverage
  • Develops and implements appropriate systems to ensure monitoring of designated program activities and tracking towards the stated project/program goals and outcomes
  • Maintains appropriate program recordkeeping in accordance with YWCA policies and procedures, and confidentiality/privacy policies
  • Provides regular program reports to Team Lead within specific reporting schedule using provided templates
  • Identifies, reports on, and evaluates the risks associated with the program activities and takes appropriate action to control the risks
  • Undertakes research in program areas and best practices to ensure program quality and innovation
  • Ensures the planning of the GBES and its activities in accordance with the mission, goals, strategic directions, and guiding principles of the YWCA
  • Develops new initiatives to support the strategic directions of the YWCA
  • Develops and implements longterm plans, goals, and aids in development of to support programs and projects
  • Ensures compliance with all YWCA HR Operating Practices, templates, and procedures in the management and oversight of facilitators/volunteers
  • Ensures that participant files are properly maintained and kept confidential

Financial Management

  • Ensures that the designated projects and programs operate within the approved budget, including proactive achievement of revenue goals if applicable.
  • Ensure the program operates within approved YWCA's financial policies and procedures, including purchase order and billing procedures
  • Ensures effective management of all financial records, including, but not limited to; guest speaker payments, participant's wages and recognition, program materials, etc.
  • Supports YWCA systems relating to payroll and benefits administration

Grant Development

  • Participates in supporting/contributing to grant proposals
  • Mobilizes community partners for prospective projects/programs
  • Identifies prospective opportunities based on program participant feedback and provincial/federal
