Position Description
Reporting to the Director, the Program Assistant will provide key administrative support to our healing & treatment programs and undertake tasks directed by the management team.
This support includes, but is not limited to, supporting intake and discharge processes, coordinating meetings, minute taking, updating program materials, filing, purchasing, data entry support and assisting with special projects.
These duties will be conducted within the policy guidelines of Kenora Chiefs Advisory.The Program Assistant will work within the Healing & Treatment program to support management to coordinate the delivery of services offered to the relevant communities.

Reports to:
Director - Binesi Waziswan
Duties and Responsibilities
- Provide coordination of management meetings that include sending meeting invites, managing the agenda, taking minutes, followup reminders regarding action items
- Provide ongoing support for intake, referral and discharge processes by answering the phone, carrying out intake calls, completing referrals, and data entry into data management platform Mustimuhw
- Arrange program and team trainings
- Greets and directs clients appropriately within the office setting, when necessary
- Assisting Managers purchasing and ordering materials/supplies as needed
- Coordinate virtual service delivery by scheduling appointments, managing referrals, correspondence, education & training
- Notify appropriate Managers/Directors on all critical cases and situations that arise to you
- Complete such other duties as may be assigned
Qualifications
- Proficiency in the use of computer programs for: Microsoft Office (Word, Outlook, Excel, Power Point) and EMHware database management programs
- Proficiency in the use of office equipment: computer, voice messaging systems, fax and photo copier
- Ability to work independently and in a team setting
- Excellent skills in the following areas: computer, organization, interpersonal and communication (written & oral)
- Knowledge of the Anishinaabe culture and language and experience in working in First Nation communities is an asset
Education and Experience
- High school diploma
- Experience providing client or customer service
- Experience working in an office environment is an asset
Other Position Requirements
- Valid driver's license and vehicle
- Must be willing to Relocate to Kenora,ON
- Willing to travel (when required) to all Treaty #3 First Nation communities
- Current satisfactory criminal reference check with vulnerable sector search
- Proof of Covid Vaccination is Mandatory
