Job Description:

We seek an organized, tech-savvy to join our team Care Coordination Specialist

  • Admin.
As a Health Services Facilitator, your primary role will be to support our Care Manager and clinical team.

Your responsibilities will include reception coverage, client bookings, billings, processing insurance claims, government sponsored programs, and coordinating employer-sponsored programs—onboarding providers and ensuring they are ready to support our members on their wellness journey.

Update customer schedules for the providers to manage their schedules. Support HR admin duties and recruitment.

Primary Responsibilities

  • Collaborate with the Customer Success Manager to achieve business outcomes; support the clinical team, physiotherapists, and ABA providers.
  • Manage schedules for providers in the clinic and therapists while coordinating appointments between multiple providers.
  • Greet clients and visitors upon arrival, providing excellent customer service for all questions or concerns.
  • Ensure all intake documents are done using Jane and Portia Pro for billing and compliance.
  • Register new clients in line with the clinic's standards; support clients in filling out medical and insurance forms and government programs,
  • Maintain client confidentiality at all times and adhere to the privacy policy.
  • Handle payment collection at the time of service and follow up on outstanding payments. Ensure compliance with billing and scheduling and matching to attendance.
  • Provide accurate daily performance statistics and complete accurate clinic billing.
  • Monitor approved budgets per client and prepare reports.
  • Ensure the client reception area is clean and fully stocked with clinic supplies and materials.

Qualifications:


  • Minimum of 1year experience in Medical Office Administration or health care field.
  • Intermediate/Advanced level proficiency in Microsoft Excel, Outlook, and Word.
  • Ability to investigate, understand, and resolve issues arising from billing, collections, and multiple funding sources.
  • Strong organizational skills and ability to adapt to clinic operation changes.
  • Experience with EMR, Jane app.
Work Hours


This is a Full-Time Permanent position working Monday to Friday, a mix of daytime hours and closing hours—no weekend coverage required.
