CUPE 5791 Job Family Category Staff Number of Vacancies 1 Position Summary


Reporting to the Dean, this senior administrative position is responsible for the successful day-to-day and long-term strategic administrative operations of the Faculty of Media, Art, and Performance.

The Faculty Administrator partners and collaborates with the Dean and members of the Dean's Executive team to achieve success by providing strategic leadership, direction and coordination of the Faculty's services.

The position manages the administrative protocols and processes associated with human resource management, financial management, facilities management, academic support, policy development, occupational health and safety, marketing, and revenue generating activities.

This is a problem-solving role with the requirement to exercise good judgement and provide leadership.

Responsibilities include, but are not limited to:

  • Participates in the development, implementation and review of strategic plans, policies and procedures to guide and oversee the efficient, effective operations of the Faculty and its academic programs and services;
  • Oversight and administration of the operating and capital budgets for the Faculty including a lead role and/or primary responsibility for preparation of the annual budget, oversee the preparation of all financial reporting, budget analysis and administering endowment, research and special project funds. Provide advice and guidance to the Dean on the impact of budget decisions and recommend for or against specific courses of action so as to ensure the support of the Faculty's clients and the ability to achieve the Faculty's strategic goals;
  • Manage/supervise either directly or indirectly 10+ staff (CUPE, APT, and OOS) who are responsible for a diverse portfolio of activities and functions ranging from administrative support to specialized technical services;
  • Oversight and administration of the human resource function for the Faculty including staff recruitment, training, supervision and performance management. Provide advice and guidance to the Dean on matters of position requirements;
  • Ensure compliance with all collective agreements for Media, Art, and Performance employee groups (CUPE 2419, CUPE 5791, CUPE 5791 Research Employees, URFA-Academic; URFA-APT) therefore must have indepth knowledge of all Agreements;
  • Provide direction and management of the student services functions, including managing personnel;
  • Manage all aspects of the Faculty's facilities including space allocation, assignment/reassignment, upkeep, repair and general maintenance, renovations, and functional changes. Responsible for space holdings that include faculty and staff offices, faculty and student studio and research spaces, specialized teaching spaces, labs, shops, the art store and the theatres;
  • Oversight and management of the Faculty's extensive fixed asset inventory including asset control measures. Ensure management of assets is in alignment with the University's policies and procedures. Asset classes include equipment and infrastructure for a wide range of creative practices;
  • Holds primary responsibility for OH&S practices and compliance to regulations in MAP including activities in studios, shops, labs, darkrooms the theatres; Chairs the Local Safety Committee;
  • Oversees the operation of the MAP Art Materials Store and the operations and community rental of two theatres;
  • Responsible for the planning and implementation of marketing initiatives for the Faculty and for the management and upkeep of the Faculty's web presence and social media;
  • Responsible for the management of data and records in the Faculty
  • Ensure the Faculty has optimal resource allocation in order to manage services and meet strategic goals.

Position Requirements

  • Completion of an undergraduate degree and a minimum of 68 years' experience, preferably in a postsecondary environment that includes involvement with financial analysis and reporting, all aspects of HR management, as well as experience in facilities management;
  • Demonstrated experience, knowledge and understanding of human resource administration as applicable to a multiunion environment, including hiring procedures, onboarding, performance management, mentoring and career development;
  • Experience in financial management including budget development, analysis and management, physical forecasting and knowledge of accounting (fund based), budgeting and cost control procedures;
  • Ability to review and analyze organizational structure and organizational needs and make recommendations including financial impacts of the proposed changes to ensure the Faculty continues to support its clients and meet or exceed its strateg
