JOB SUMMARY
Responsible to the Executive Director of Willow Place Inc.

and directly supervised by Executive Director the Human Resource & Administrative Coordinator will be responsible for a variety of HR operations and administrative and other tasks providing support and guidance to staff and leadership team members where needed.

The position also supports mission and vision of Willow Place and works in collaboration with all staff and members of leadership team to create and enhance a welcoming, safe and positive environment for clients, residents and guests who come to Willow Place.


QUALIFICATIONS:


  • Degree/Diploma/Certificate in Business Administration with majors in Human Resources or equivalent/relevant qualification.
  • Minimum of 12 years of experience as Human Resource & Administrative Coordinator.
  • Knowledge and experience of working in nonprofit organization will be considered as an asset.
  • Understanding and knowledge of Labor Law, Employment Standards and other related legislations.
  • Effective HR, Administration and people management skills.
  • Knowledge and understanding of payroll practices
  • Complete understanding and experience of HR operations and best practices.
  • Excellent written and verbal communication skills.
  • Works well under pressure and meets tight deadlines.
  • Must have excellent administrative skills, organizational skills and time management skills.
  • Strong decisionmaking and problemsolving skills.
  • Ability to multitask and prioritize in a dynamic work environment.
  • Meticulous attention to detail and ability to accurately follow the instructions and work as a team member with mínimal supervision.
  • Clear understanding of confidentiality, boundary management and how to create a supportive relationship within the organization.
  • Flexible to meet the demands of a 24/7 care facility.
  • Able to meet the physical demands of the position.
  • Current CPR, Emergency First Aid and Non-Violent Intervention Certificate.
  • Satisfactory Child Abuse Registry, Adult Abuse Registry and Criminal Record Check.

RESPONSIBILITIES:


  • Supports all internal and external HR related inquiries or requests.
  • Maintains employee records and keeps it uptodate on HRIS and on physical personnel files.
  • Identifies recruitment needs and manages whole recruitment cycle.
  • Prepares employee offer letters for all classifications.
  • Assists Executive Director and supervisors with performance management procedures.
  • Produce and submits all weekly, monthly, quarterly, semiannually and annually reports as required by funder(s) and other internal and external stake holders.
  • Assists finance personnel with payroll process and ensures that all payroll updates are provided accurately.
  • Manages all HR operations independently under the supervision of Executive Director.
  • Conducts exit interviews.
  • Provides support to Executive Director and identity and implement staff retention strategies.
  • Ensures implementation of HR policies and procedures, CBA, operational policies and procedures across the board.
  • Conducts periodic review of job descriptions, HR templates, operational policies and procedures, HR policies and other related matters, suggest amendments and implements the changes with the approval of ED and Board of Directors.
  • Assists Executive Director and Board Chair in Union negotiations and maintains all records.
  • Provides support, guidance and assistance to supervisors and other staff members in terms of Collective Bargaining Agreements, Labor laws, Human Rights Commission, Employment Standards and other related legislations.
  • Keeps payroll information uptodate pertaining to pay rates, classification, timesheets, time of requests and all other related matters.
  • Keeps uptodate with latest HR trends and best practices.

TEAM RESPONSIBILITIES/STAFF DEVELOPMENT:


  • Adheres to the values and guiding principles, policies and procedures of Willow Place and supports the strategic direction of the organization.
  • Participates in staff meetings and offered trainings.
  • Acts as a responsible team member by demonstrating initiative, completing work duties and by maintaining clear, direct and respectful communication with all people in the work environment.
