Position Summary

Reporting to the Manager of Job Evaluation, the Position Control Administrator will play a pivotal role in managing and maintaining the data control for all unionized and administrative full-time and part-time staff positions.

This new role will ensure the accuracy and maintenance of position records and changes, using the college's ERP system - Banner.

The Administrator will be responsible for maintaining up-to-date spreadsheets, reporting and compiling organizational charts to support key decisions of the People and Equity team.


This role will be the primary contact for position control information and support the Job Evaluation team in guiding clients around position changes across the college while ensuring updates are documented appropriately and cross-impact considerations are met (e.g., impacts to the span of control and evaluation scores of positions when there is a change).


In addition, the successful incumbent will collaborate closely with their manager and various departments to facilitate efficient HR processes and participate in the job evaluation process of new and existing positions; they will support the review and investigation of pay equity and participate in other audit activities.


Responsibilities

  • Oversees the position control system and tracking of all position data, using Banner/HRIS systems to enter, update, and manage positionrelated data
  • Creates, updates, and maintains position classes and numbers in the HRIS according aligned with policies, regulatory requirements, and industry best practices.
  • Identifies, documents and resolves data discrepancies by recommending solutions through regular position data audits
  • Reviews position data within departments and across the College, to maintain consistency and accuracy in position control.
  • Ensures data security and compliance with internal policies, privacy legislation and regulatory requirements to protect sensitive employee data
  • Consults with internal partners to gather job requirements, conduct a needs analysis, and ensure compliance with internal policies and practices from job function to accurate job description format; collaborates with stakeholders to resolve position controlrelated issues
  • Provides datadriven insights and recommendations to inform HR strategies and decisionmaking
  • Provides information and guidance to people managers on position control processes and best practices
  • Participates in Job Evaluation Committee meetings, actively contributing to the evaluation of union and nonunion job descriptions, and ensuring inclusive and consistent in job classifications
  • Supports jobrelated grievances and investigations, by conducting thorough evaluations and providing key historical and relevant position controlrelated data
  • Supports the analysis of job data, institutional and market trends to help make decisions around job classifications and compensation structures
  • Responsible for reporting and analysis of position history, management, and control for individual positions and departments/divisions; leverages reports to develop organizational charts for client planning/tracking and internal auditing and position maintenance/control
  • Implements best practices and recommends system enhancements to streamline processes and enhance data accuracy.

Qualifications/Experience

  • Threeyear diploma/degree in Human Resources, Business Administration, Information Systems, or a related field
  • Two (2) years of experience working with Human Resources Information Systems (HRIS) or Enterprise Resource Planning (ERP) systems, such as Banner, SAP, Workday, or similar platforms
  • Two (2) years of experience writing and developing job descriptions and performing job evaluations
