Morrison Hershfield's Integrated Engineering Design (IED) group provides integrated engineering solutions to institutional, industrial, residential and commercial clients with a focus on transit, telecom, waste management, higher education and food/beverage facilities that require reliable and cost effective infrastructure for both new and retrofit solutions.

The combined skills of our engineers, technicians and support personnel with their diverse backgrounds in design and construction provide clients with a team recognized as leaders in the field.


Responsibilities:

Support and assist project managers in delivering projects to our clients Provide routine administrative services to project managers and engineering professionals working on a project team Maintain project files Operate project document control system as directed for specific projects Maintain filing for projects (hard and electronic) Perform document control. Assist in project financial setup and maintenance Accounting setup Project Invoicing and AR Management Assist with the preparation for client meetings, reserving conference rooms, coordinating refreshments, collecting and compiling documents, recording meeting minutes, drafting correspondence, etc. Act as liaison between project manager(s) and engineers to coordinate project priorities and perform project related tasks Assist the PM in the drafting and issuance of project proposals, RFP's, tenders, budgets, cash flows and preliminary schedules Assist PM in preparation of project work plans Use project scheduling and control tools to monitor projects schedules Attend required team and client project meetings Effectively and accurately communicate relevant project information to the client and project team Maintain contract/ PO Log Maintain RFI Log and facilitate RFI process to completion Maintain submittal log and facilitate submittal process to completion Assist the PM in the review of Contractor quotations Ensure all required project close out documents are obtained Keep the team and others informed about project status and issues that may impact client relations Develop and maintain a detailed project schedule in conjunction with PM Coordinate travel arrangements and expense reports for project managers and team members Prepare and/or edit meeting minutes, presentations and tables Ensure coordination of the interfaces of all disciplines within project team Qualifications:
  • Minimum of 2 years of experience working for an engineering firm with knowledge of industry, supporting project managers in the delivery of design projects is preferred
Post secondary education in a related discipline such as Business Administration Ability to be detailed oriented, function in a multitask environment and be able to follow complex instructions Selfmotivated and able to work under pressure Proficient in MS Project Adaptive, flexible to change, highly interactive and resultsoriented Excellent communication skills including verbal, written and presentation skills Proven ability to work effectively both independently and in a team based environment Demonstrated willingness to be flexible and adaptable to changing priorities Occasional overtime may be required
