Executive Assistant to The CEO and Cfo/office - Victoria, Canada - Abstract Developments
Description
Reporting to CEO and CFO the Executive Assistant is a key component in ensuring success for the executive team of the Group of Companies.
This position is responsible for the seamless coordination of all day-to-day activities on behalf of the executive team, and is the point person in organizing daily meetings, personal travel, and dynamic activities.
This position is a key component to the overall success of the company.Essential Responsibilities & Duties:
Executive Assistant to CEO:
- Provide daily support to the CEO
- Assist in the coordination of the CEO's personal and professional schedule
- Organizes and coordinates office operations and procedures and maintains a pleasant work environment to ensure high levels of organizational effectiveness, communication and safety
- Run personal errands as assigned
- Coordinate staff and contractors
- Organize travel for the CEO as required
- Maintain related personal budgets and assist with ensuring timely payment of personal accounts
- Prepare routine correspondence and as directed
- Document all stakeholder communication
- Maintain office supply inventory
- Work with IT to ensure successful onboarding and offboarding of staff (copier set up, business card arrangement
- Oversee and track alarm codes and office access
- Coordinate company functions and events as required
- Liaises with facility management vendors, including cleaning, and security services
- Maintains professional and presentable condition and appearance of the office and arranges necessary repairs
- Planning, ordering and catering company events
- Complete other duties as assigned
Office Manager:
- Maintain office supply inventory

Requirements:
Qualifications:
- Proven work experience as a personal or executive assistant; minimum three (3) years experience strongly preferred
- Demonstrated ability to work selfdirected, multitask, and prioritize daily workload
- Proficiency with MS Office and Office 36
- Outstanding organizational and time management skills
- Strong financial/accounting acumen with a proven ability to maintain personal budgets
- Knowledge of office management systems and procedures
- Strong verbal and written communications skills
- Demonstrated ability to exercise discretion and confidentiality
- Current drivers license with proficiency in driving manual transmission automobiles preferred
- Related postsecondary education is preferred, a high school diploma is required;
