Corfix is a mobile app used on the jobsite by construction workers to manage day-to-day tasks and provide high-level oversight.


We're looking for an energetic full-time
Office Coordinator/Executive Assistant who is passionate about enhancing operational efficiency, loves to solve problems both big and small, is detail-oriented, enjoys a healthy dose of ambiguity, and has a figure-it-out attitude.


About the Role


As the Office Coordinator/Executive Assistant at Corfix, you support the executive team and all people leaders to drive operational excellence and help make Corfix the company where everyone loves to work.

In this role, you will communicate, execute, and manage day-to-day office operations and provide administrative support to the CEO and the executive team.


Responsibilities

  • Provide general administrative support to the CEO and the executive team which may include organizing meetings, calendars, interviews, and travel coordination, among other duties as required to drive overall effectiveness.
  • Update internal policies and procedures on an ongoing basis as required.
  • Coordinate meetings (as required) to ensure they are highly effective. Produce agendas, manage all takeaways, coordinate deliverables, and ensure timelines and due dates are met.
  • Coordinate the new hire onboarding program and be the primary point of contact for all new hires when they join Corfix.
  • Own office systems and administrative processes such as coordinating interviews, offboarding, exit interviews, creating onboarding checklists, offer letters, and administering and tracking all leaves, time off, and vacations for the company.
  • Lead the Joint Health and Safety Committee and ensure compliance with local legislation.
  • Maintain the highest level of confidentiality at all times.
  • Provide support in event planning at both the team and company level. Events may include celebrations, kickoff events, town halls, and others as required

Requirements:


  • You have a postsecondary degree (preferred), with a minimum of 2 years' experience in a related position in a dynamic/scaling environment.
  • You can prioritize your work in a fastpaced, rapidly changing, and innovative environment.
  • You are eager to bring new ideas to the table and roll up your sleeves to get things done.
  • You are extremely organized and passionate about details.
  • You take proactive approaches to problemsolving and have strong decisionmaking capabilities.
  • You handle confidential information with discretion and are adaptable to competing demands.
  • You have strong interpersonal skills and build trusted relationships with employees and other internal and external partners.
  • You have strong written and verbal communication skills and are proficient in Google Workspace (e.g., Gmail, Google Docs, Google Sheets, Google Slides) and virtual platforms, including Zoom.
