Job Purpose


Reporting to the Executive Director, you will work as a member of the team to manage all financial records and bookkeeping activities for the agency.

You will create and monitor budgets, prepare financial reports, and ensure the financial integrity of the organization, in order to support the goals and objectives of Hamilton Jewish Family
Services.

Major responsibilities

  • Manage all financial records and bookkeeping activities for HJFS, and ensure all financial records are kept uptodate
  • Prepare detailed monthly financial statements, along with budget projections, programming budgets, and investment reports, for Finance and Audit Committee
  • Prepare the agency's annual internal budget, program budgets, funding budgets, and grant budget proposals in consultation with Executive Director
  • Monitor and provide detailed reports on variances in monthly expenses to the approved budget
  • Complete monthly bank reconciliations, monthly donations reconciliation reports, and invoice payments
  • Pay invoices in a timely manner and ensure records management for all invoices
  • Prepare, complete, and submit the agency's annual Charity Information Return and GST return with the Canada Revenue Agency, along with any other mandated government paperwork
  • Research, implement, and monitor financial controls for HJFS, and ensure adherence to HJFS policies
  • Prepare all agency documentation related to annual audit, including but not limited to granting contracts, gift card reconciliation, and invoices, with support from Executive Director, Treasurer, and Finance and Audit Committee
  • Be the primary contact with the external accountant regarding all matters pertaining to the annual audit
  • Participate in HJFS Finance and Audit Committee and provide all relevant materials
  • Assist the Executive Director with the procurement of administrative leases, licenses, purchased services, leasehold improvements, and capital purchases
  • Assist Treasurer and Executive Director with the development and implementation of the HJFS Financial Dashboard
  • Meet with Executive Director and Treasurer regularly to discuss the finances of the agency
  • Complete all financial funding requests and reports to HJFS funding bodies, including by not limited to the City of Hamilton, the Ministry of Seniors Affairs, and the Jewish Material Claims Conference Against Germany
  • Comply with provincial, federal, and local legal requirements by studying requirements; enforcing adherence to requirements; filing reports; advising management on needed actions
  • Advise and educate staff on appropriate financial controls, relevant accounting procedures, and agency financial policies
  • Plan, initiate, and complete with the support of the Executive Director
  • Special
Projects including the creation of individual program budgets (such as Kosher
Food Bank, Mental Health, and Claims Conference)

  • Provide fiscal oversight and support to HJFS Managers with individual program budgets, including report generating, financial updates, and projections
  • Administrative duties include responding to correspondence and filing financial records.
  • Other duties as required
Knowledge and Competencies

  • Graduation from a postsecondary institution with a degree/diploma in the financerelated field
  • 5+ years of nonprofit finance experience
  • Knowledge of QuickBooks, Excel, ADP, and other Finance Management programs
  • Excellent communication skills, both written and oral, appropriate to diverse
audiences

  • Excellent time management and organizational skills to prepare and monitor reports
  • Superior accuracy and attention to detail
  • Ability to organize and prioritize work and set deadlines
  • Ability to work independently with little supervision
  • Understanding and passion for missiondriven work and personal values that align with HJFS

Role Details

Relationships:
This position reports to the Executive Director
Position type: 24 hours per week, permanent part-time, mínimal evening and weekend work required

Compensation:
$41/hr plus 4% vacation pay
