Position Summary
Admin Assistant, Perioperative Services
You goal in this position is to provide administrative and clerical support to the Perioperative Service department. You will have the accountability for visibly role modelling the values and attributes of staff working in a hospital focused on quality, safety, risk and patient
- and family
- centered care. You will support NYGH's achievement of an ultra-safe hospital. You are a great relationship builder, highly organized, able to succeed in a fast paced environment, and are eager to engage with new challenges every single day. You have excellent interpersonal and customer service skills; you work well independently and with others. You also have excellent problem solving skills and effective management skills. You have excellent written and verbal communication skills. This position supports the Hospital's academic mandate by advancing care through teaching and learning and/or transforming care through research and innovation. This position contributes to the shared responsibility of ensuring health and safety policies are followed to provide for a healthy environment for staff, physicians, volunteers, learners, patients and families.
On a practical level, you will

Provide specialized administrative support using demonstrated judgement, initiative and independence to assist the CTM and organizational objectives

Coordinate efforts across cross functional/program teams to ensure timely delivery of necessary material

Collaborates within the program administrative assistants

Assists in organising new hire training Cerner

Manages perioperative pay roll submissions

Respond to information and/or document requests

Liaison with multiple external vendors

Provide administrative support relating to Endoscopy, OR and CCO blocks

Compile and disseminates material/documents related to perioperative services activities

Manage confidential information in a sensitive and professional manner

Prioritize, multi-task and effectively manage time and balance schedule of CTM

Utilize standard office equipment and order routine supplies


Coordinate and plan meetings including preparation and documentation of agendas, minutes (meeting attendance required), work plans and project charters and the room setup (IT, computer, etc.)



Comply with Occupational Health and Safety Standards

Perform other duties as required


Qualifications:

Undergraduate degree preferred

Secretarial Courses or diploma or certificate in Office Administration

Recent Courses in Computer Applications, including Visio

Knowledge of office and management principles

Extensive calendar management experience

At least three years in a secretarial position with administrative experience

Demonstrated knowledge of computer software, e.g., Word, Excel, PowerPoint, Access, Visio

Develop reports and PowerPoint presentations as required

Accurate minute taking skills, filing

Accurate keyboarding, word processing skills - minimum 55 wpm

Resourcefulness and ability to adapt in response to Program's needs

Knowledge of Operating room terminology an asset
