Building Support Assistant/Receptionist (0.5FTE)

Temporary Part-time Position (1 year)


The Alberta Teachers' Association, as the professional organization of teachers, promotes and advances public education, safeguards standards of professional practice and serves as the advocate for its members.

As one of two first line staff to greet public visitors, couriers, and staff daily in Barnett House, this position will act as a back up receptionist at the main entrance, and also provide critical building support administrative duties in a fast
- paced setting. Duties as assigned by building management will include assisting with in-building event booking and room setup requests, receiving building and parking lot incident reports, monitoring staff safety training, and ensuring other records relating to staff and tenant health and safety and building maintenance are well organized.

In addition to receiving calls and visitors at the main reception desk, other duties include:


  • Booking and helping to prepare event booking paperwork for conference rooms, updating meetingroom electronic signs and event boards daily, and resolving visitor issues and requests as appropriate.
  • Providing administrative support to the Building and Facilities Manager and the Building Supervisor including attending building meeting attendance and note taking.
  • Participating on the building OHS Committee and helping to improve building safety procedures.
  • Keeping accurate files and logs on building maintenance activities, contractor visit records, tenant issues, and reconciling building service invoices received for payment.
  • Booking annual arrangements for other services with contractors such as window washing, exterior repairs as needed, fire systems inspections, and the arrival and departure of specialty rental equipment.
  • Issuing temporary building access cards and parking stalls and ensuring that security signin procedures are followed.
  • Helping visitors, delivery drivers, and contractors wayfare throughout the building.

Qualifications:


  • A certificate in administration or office management from a related field from a postsecondary institution is preferred. A combination of experience and education may be considered.
  • Three years of administrative experience involving booking appointments, coordinating meetings, taking meeting minutes, record keeping, and handling property management issues and logistics.
  • Experience working as a frontline receptionist with call transfer responsibilities/switchboard operations.
  • Basic accounting skills and experience with booking softwares.
  • Proficiency in using Meeting Room Manager and Signage Master Express software is an asset.
  • Proficiency in using the Microsoft Office Suite, Excel, and other databases.
  • Strong timemanagement and organizational skills, including the ability to multitask, work well under pressure and meet deadlines.
  • Strong interpersonal skills, including the ability to maintain good working relationships with staff, stakeholders, customers and to be professional and cordial with the public.
  • An ability to perform duties with a high degree of proficiency, initiative and good judgment.

Salary:
This position offers a competitive starting annual salary of $24,904 plus a full range of employer-paid benefits.


Hours of Work:17.5hours per week, afternoon shift, Monday to Friday
