Position Title

  • Operations Manager, Office of the Registrar
    Position Summary
  • The Operations Manager is responsible for operational leadership within the Division of Enrolment Management and Registrar. The incumbent has overall responsibility for the management of operations functions to assist in the delivery of a wide variety of programs and services and daytoday supervisory responsibility for assigned staff. The Manager will lead and manage the planning, design, implementation, and assessment of projects within the Office of the Registrar. Projects will be highly collaborative and can involve a variety of internal and external stakeholders.
  • Using effective communication, problemsolving, and analytical skills the Manager will prepare and develop strategic plans, business cases, and proposals. The incumbent facilitates the budget process for the Office of the Registrar coordinating with Financial Services to synchronize with the overall institution budgeting process. The Manager is expected to utilize and expand their depth of knowledge to improve processes and achieve efficiencies. A high degree of initiative and the ability to work, at times independently, and collaboratively to achieve results is required.
    Position Responsibilities

Project Management

  • Manages projects and strategic initiatives within the division of Enrolment Management and Registrar, by providing project management expertise
  • Accountable for the successful completion of projects and programs to improve and support business process effectiveness and efficiency as well as overall quality of work delivered by the project team
  • Initiates exploration of new software and system solutions for current manual processes including Document Management, SharePoint and/or Curriculum Management system for managing governance and curriculum processes
  • Leads project teams and is responsible for project design and planning; implementation and completion; and project assessment
  • Identifies issues and solutions while providing advice on project progression including project milestones and timelines are being met
  • Acts as liaison with committees, task groups, external stakeholders, project team members, and collaborating with faculty and staff to ensure project success
  • Guides external parties/partners regarding applicable RDP processes and practices
  • Leads collaborations with other internal departments across the polytechnic to complete key project initiatives, including Information Technology, People and Culture, Marketing & Communications, Work Integrated Learning, Registrar's Office, and Schools
  • Develops project related documentation including, but not limited to, project plans, scheduling updates and revisions, critical path, proposals, business cases/plans, project deliverables, agenda packages, minutes, etc.
  • Proactively and independently conducts necessary research, liaising with internal and external contacts to gather necessary information in anticipation of each meeting
  • Ensures all project action items are followed up by project members
  • Presents project completion summaries and or reports to project sponsors and department heads

Operations Management

  • Manages the operational systems through the assessment and design of workflows that will respond to department needs, enhance service delivery, and contribute to the growth and success of the Division
  • Develops administrative and financial reports that will provide division leadership with direction and guidance for planning and decisionmaking purposes
  • Participates in the annual operational planning cycle in coordination with the annual budget process
  • Prepares and writes strategic planning documents resulting from initiatives identified in operational plans across the division
  • Provides direction on policy compliance and participates in risk assessment and management
  • Coordinates the development of procedures manuals to ensure consistency and enable knowledge transfer
  • Participates in division initiatives as determined in collaboration with the divisional leadership team
  • Acts as a backup Posting Coordinator and Contract Submitter for the division

People Leadership

  • Responsible for effective recruitment and selection, retention, coaching, supervision, performance management in compliance with People and Culture policies and procedures, FOIPP, and collective agreements in support of a high performing team
  • Facilitates where necessary discipline and dismissal of reporting staff, in consultation with the Dean of Enrolment Management and Registrar
  • Operationalizes and applies Collective Agreements and ensures Policy Compliance
  • Develops, reviews, and is accountable for the fluid support structure and processes to ensure the effective and efficient dist
