Time Requirement: 35 hours per week (some evenings and weekends may be required)


Pay Band:
$53,000


Position Overview


The Events Manager provides supervision and direction regarding the workflow of all event efforts at all Conestoga College campuses for CSI.

The Events Manager assigns job tasks and work to collaborate and co-develop event plans and strategies.

In carrying out the duties of this position, a great deal of autonomy is exercised with final overview by the Sr.

Manager, Student Life. It is also important that the Events Manager works extremely closely with the Sr.

Manager, Student Life to ensure they are up to date on the overall event operations of the corporation on all campuses.

In all activities, it is crucial that the Events Manager recognizes that service to students is a top priority.


In carrying out supervisory responsibilities, the Events Manager must cultivate and maintain a diverse and inclusive environment in which the variety of participants' backgrounds, experiences, places of origin, racial/ethnic identities, sexual identities, gender, ages, and more are heard, respected, and valued by everyone.


DUTIES AND RESPONSIBILITIES

Management of Event Staff

  • Management includes motivating staff, conducting performance reviews, and disciplining and terminating when needed in conjunction with the Sr. Manager, Student Life and Human Resources department.
  • Troubleshoot any conflicts or concerns that arise with staff who report to the Events Manager.
  • Work with staff members to ensure quality customer service to all students of Conestoga College.
  • Create and conduct jobspecific training for all new and current staff who report to the Events Manager. ensuring all legislated training and other necessary training is completed before working the first shift on the job.
  • Ensure all documentation is accurate and submitted to Human Resources department.
  • Plan and schedule regular staff meetings in conjunction with other department supervisors.
  • Maintain uptodate records for direct reports using HRIS system, including approving and denying requests for time off.

Management of Events and Programming

  • Manage and oversee the planning and execution of CSI's and CSSI's student activities and events at all Conestoga College campuses and satellite campuses (e.g., open house, orientation enhancements, college fairs, concerts, pub nights, etc.).
  • Working with staff members to ensure the events teams' goals are completed at desired quality.
  • Create monthly reporting on data and service to support operational decisions.
  • Responsible for creating and managing the implementation of an annual events plan and corresponding budget for CSI and CSSI businesses in conjunction with the Sr. Manager, Student Life.
  • Present final event/activity plans to Sr. Manager, Student Life on an ongoing basis
  • Ensure creation and implementation of risk management strategies.
  • Ensure event needs are met and support all departments within CSI and CSSI
  • Ensure all events are executed at maximum potential and meet event goals/targets in line with the current needs of students.
  • Provide supervision and direction regarding the workflow of all events efforts for CSI and CSSI.
  • Adhere and ensure all events meet AODA standards
  • Continuously improve events and programming by identifying and addressing areas of weakness and implementing best practices.
  • Monitor and report ongoing departmental results on a regular basis to Sr. Manager, Student Life
  • Ensuring user feedback is collected and presented/reported on a regular basis.
  • Delegate and schedule the Events team as needed
  • Assist in the live, hybrid, and/or remote delivery of events, workshops, and services
  • Manage and oversee the coordination, and setup of various CSI special events as necessary
  • Ensure CSI regular programming is being supported as needed, ranging from running smallscale productions to assisting with largescale shows
  • Maintain the event supplies and equipment, ensuring it is operational and kept in a secure space
  • Purchasing and acquiring event supplies, including submitting purchase request forms in compliance with finance department policy
  • Approve purchase requests in line with budget and approval limits
  • Ensure financial invoices and cheque requisitions to the finance controller in a timely manner
  • Assist in the booking and price negotiation for vendors, performers, and suppliers.
  • Ensure licensing is maintained on an annual basis with supporting reports; including acquiring new licensing as needed

Other General Duties

  • Work in accordance with corporate bylaws, policies, and procedures, particularly to the CSI Mission Statement
