What We Offer


As a Project Coordinator, you will play a key role in our success as you undertake a wide variety of tasks related to: cost-to-date reports, shop drawings, Site Instructions, Requests for Information (RFis), change orders, processing of trade contracts, estimating, tendering and pricing, project schedule updates, drafting, meeting minutes, field documentation, and more.


Responsibilities

  • Follow and consistently demonstrate Mattamy Homes Core Values
  • Provide some contract administration for assigned projects; coordinate with purchasing for quantity takeoffs to assist in generating project budgets and confirm validity of extras and draws; assisting during tendering; and handling project information flow between all stakeholders
  • Maintain monthly project cost reports and circulate to stakeholders
  • Track entries for N.O.C. lists, Change Order lists, Backcharge lists
  • Oversee and monitor postings, process subtrade draws and prepare progress draw reports
  • Assist PM in validating draw requests and requests for extras
  • Track and process holdback releases, backcharges, deposits and bonds
  • Process and track shop drawings
  • Assist in coordinating submissions, distribution, and approvals of shop drawings
  • Process and track SI and RFI to and from consultants along with project manager
  • Distribute and communicate with/to affected trades, parties and job sites
  • Prepare trade scope of works with purchasing, as well as track and process completed contracts
  • Process and analyze trade draw requests reporting and reviewing with PM, and following up and clarifying with the site supervisor
  • Attend bid closings, as required
  • Understand the project schedule and adjust after discussion with PM
  • Complete trade performance reviews at completion of project and provide feedback to Estimating
  • Prepare quantity takeoffs for budget analysis to validate extras and back charges
  • Assist with preliminary budget preparation and estimating, when applicable
  • Participate in/assist with value engineering, material selections and development of specifications
  • Track document distribution and monitor deadlines
  • Collect, track, route and distribute all SI, RFI, Shop, drawings, CCN's, CO's and contracts including updating and maintaining the project network files.
  • Monitor and update project schedules on MS Project
  • Update stakeholders of project delays, schedule revisions, and assist PM in resolving scheduling issues
  • Issue hardcopy scheduling updates and baseline tracking
  • Schedule and attend startup, project, site and budget meetings, take and prepare meeting minutes and distribute to trades, consultants, clients and internal team members, as applicable
  • Ensure field office documentation is current drawings, SI, changes issued by consultants, addendum,
  • Coordinate with field staff for timely submission of receipts (packing slips and VISA Receipts), schedule status reports, field authorizations, time sheets, red lines, field reports, etc. and forward to accounts payable.
  • Perform any other tasks assigned by the Project Coordinator Managers and, as required, by the Director of Midrise
  • Assist other team members with overflow workloads, as required from time to time.

What You Bring

  • Construction degree or diploma from an accredited college or university.
  • Accuracy in duties and responsibilities.
  • Attention to detail and ability to multitask.
  • Motivation, integrity and positive attitude.
  • Excellent interpersonal and communication skills (both verbal and written).
  • Excellent computer and organizational skills.
  • Ability to build and maintain positive working relationships with coworkers / contacts.
  • Ability to work well independently and as part of a team.
  • Flexibility to adjust core working hours, as required.
  • Valid Class G driver's license for travel to other offices and construction sites, with the ability to perform field tours and inspections on an active construction site
