The opportunity:


Working collaboratively under the supervision of the Director, Events and Ceremonies, the Events Officer will play a key role in supporting the planning of the university's key institutional events such as Convocation, Emeritus, Distinguished Alumni Awards, Homecoming, gift announcements, building openings, recognition events etc.

Working as part of an events team, the position involves internal and external communications, pre-planning, and on-site execution of live and virtual events, helping to ensure that all events are produced in line with the university's goals and vision and that they appropriately represent the University of Manitoba's image to our internal and external communities.

The Events Officer is the face of UM, representing the UM when interacting with high level executives, politicians, and faculty.

The position is mainly focused on event administration and production, but is also accountable for budget and other decisions which will have a significant impact of the outcome of major university events.

The role requires a combination of strong organizational skills, creativity, technical event knowledge, writing skills, the ability to multi-task and coordinate logistics.


The qualifications and experience we're looking for:

  • Undergraduate degree in a related discipline required, preferably in event management, tourism, event marketing, hospitality.
  • Minimum three years' experience required, preferably in an event planning position with a charity, nonprofit, corporation or academic institution.
  • Experience with management of multidisciplinary services related to event production required.
  • Experience with supervision of teams (of contract workers and volunteers) in an event environment required.
  • Technical event or stage management experience required.
  • Proven track record of delivering large scale events.
  • Experience with event documentation and scripting required.
  • Delivery of instruction to thirdparty contractors.
  • Experience managing performers, talent and speakers an asset.
  • Conference management experience an asset.
  • Volunteer management experience an asset.
  • An acceptable equivalent combination of education and experience may be considered.
  • Superior attention to detail skills required.
  • Strong computer skills required.
  • Excellent administrative skills required.
  • Budget management training required.
  • Superior interpersonal (written & verbal) skills required.
  • Demonstrated advanced technical proficiency using online meeting and conference platforms required.
  • Highly selfmotivated required.
  • Strong time management skills and ability to manage concurrent tasks efficiently required.
  • Ability to work as part of a team as well as make independent decisions required.
  • Ability to build and manage detailed event plans required.
  • Ability to remain calm, handle sensitive and confidential information and situations required.
  • Ability to be innovative and resourceful; actively seeks opportunities to improve required.
  • Must be comfortable with working with higher level executives and offices.
  • Experienced at negotiating and building partnerships with vendors preferred.
  • Thorough understanding and proven record of applied event practices are essential.
  • Adherence to standard best practices and procedures is essential.
  • Understanding of the fundamentals of virtual events is essential.
  • Satisfactory work record, including satisfactory attendance and punctuality, is required.
  • To be able to work flex hours, work weekends and evenings when required.
