    HOURS: Full time, Monday to Friday, 40 hours per week - some overtime will be required to support evening Board meetings and/or other activities.

    How You Will Make an Impact

    The Executive Assistant to the Chief Executive Officer at Good Shepherd Centres is entrusted with a wide array of responsibilities integral to the daily operations and strategic initiatives of the organization.

    This pivotal role requires the execution of duties in alignment with the Mission, Vision, and Values of Good Shepherd Centres, ensuring that every task is carried out with the utmost dignity, respect, and adherence to the organization's values.

    The position involves a broad spectrum of administrative tasks including preparing documents such as letters, reports, agendas, and minutes for the CEO and Board of Directors, managing electronic and manual filing systems, coordinating appointments, and providing basic IT troubleshooting support. Additionally, the role entails the handling of inquiries, maintenance of schedules, and the organization of meeting materials, all while embodying leadership qualities and role modeling behaviors that reflect Good Shepherd's core values.

    Beyond the fundamental administrative duties, the Executive Assistant is also responsible for more specialized tasks such as processing invoices, reconciling credit card statements, registering the CEO for conferences, and accurately preparing meeting packages for various committees.

    A significant aspect of the role involves problem-solving and decision-making in the CEO's absence, maintaining a tracking process for documents, and ensuring confidentiality across all areas of operation.

    The successful candidate will also engage in internet research, set up IT equipment for events, provide backup administrative coverage, organize special events, and demonstrate proactive initiative in anticipating work needs.


    What You'll Bring to Our Team

    • Post-secondary education in a related field (i.e. administrative studies) and previous experience in an in a similar capacity
    • 3 - 5 years of progressive administrative experience
    • Demonstrated work ethic in leadership and role modelling of behaviours that demonstrates the Mission, Vision and Values of Good Shepherd Centres
    • Provide service in a dignified and respectful manner that reflects the charism of Good Shepherd Centres and which integrates anti-oppression/anti-racism frameworks
    • Excellent organizational skills with the ability to prioritize tasks and meet deadlines
    • Proficiency in the Microsoft Office Suite (Word, Excel, PowerPoint, etc.) and Google Suite (Docs, Sheets, Slides)
    • Strong written and verbal communication skills
    • Exceptional attention to detail and accuracy
    • Knowledge of phone etiquette and professional communication
    • Familiarity with DocuSign or other electronic signature platforms
    • Experience managing Outlook Calendar or similar scheduling tools
    • High level of organization and the ability to manage multiple priorities simultaneously, including scheduling, project management, and event planning
    • Strong analytical and problem-solving skills, with the capacity to make sound decisions quickly, especially in the executive's absence
    • The ability to adapt to changing priorities and maintain a calm, professional demeanor under pressure
    • The ability to be responsive to the needs of others with a respectful and compassionate demeanor
    • Excellent verbal and written communication, computer, interpersonal and organizational skills
    • To observe all Good Shepherd health and safety rules and regulations and to work in a manner that minimizes risk to clients, staff and others as well as to the property of the Good Shepherd Centres.
