As a Leasing Coordinator, you will be responsible for providing administrative support to our leasing team, ensuring efficient and effective operations throughout the leasing process.

Your attention to detail, organizational skills, and ability to manage multiple tasks will be essential in maintaining accurate records, coordinating lease agreements, and facilitating communication with tenants and property management staff.


General Duties Responsibilities of a Property & Leasing Administrator may include but are not limited to:


  • Lease Documentation and Processing:
  • Prepare lease agreements, addendums, and other leasing documents accurately and in a timely manner.
  • Review lease terms and conditions to ensure compliance with company policies and regulations.
  • Coordinate lease signings and ensure all required signatures and documents are obtained.
  • Marketing and Advertising:
  • Develop and implement effective marketing strategies to attract prospective tenants.
  • Create compelling property listings for various online platforms and print materials.
  • Coordinate with marketing teams to ensure consistency in branding and messaging.
  • Tenant Screening and Application Processing:
  • Communicate leasing requirements and procedures to prospective tenants.
  • Tenant Correspondence and Communication:
  • Serve as a primary point of contact for tenant inquiries and requests, during the leasing process
  • Communicate leaserelated information to tenants, including rent payments, lease renewals, and maintenance procedures.
  • Database Management and Recordkeeping:
  • Maintain accurate and uptodate records of lease agreements, tenant information, and property inventory.
  • Input data into property management software systems and ensure data integrity.
  • Generate reports and analyze leasing trends to support decisionmaking processes.
  • Coordinate with leasing team members to facilitate the approval process for new tenants.
  • Property Inspections and Maintenance Coordination:
  • Schedule and coordinate move-in and move-out inspections with tenants and property management staff.
  • Update leasing team on property availability and status.
  • Property Tours and Showings:
  • Schedule and conduct property tours for interested parties.
  • Highlight property features and amenities during tours.
  • Follow up with prospective tenants to answer questions and address concerns.
  • Administrative Support:
  • Assist leasing team with administrative tasks such as filing, copying, and scanning documents.
  • Coordinate meetings, appointments, and travel arrangements for leasing staff.
  • Provide general administrative support to ensure smooth operations of the leasing department.

Skills & Requirements:

Education: High school diploma or equivalent required; Associate's or Bachelor's degree preferred.

  • Proven experience in leasing or property management role.
  • Knowledge of the BC Residential Tenancy Act.
  • Excellent communication and interpersonal skills.
  • Ability to work flexible hours, including weekends and evenings, to accommodate potential tenants' schedules.
  • Detailoriented with the ability to multitask and prioritize tasks effectively.
  • Proficiency in property management software (Yardi suite of programs) and Microsoft Office Suite.
  • Ability to work independently and as part of a team in a fastpaced environment.
  • Polite, professional, friendly and cooperative personality and willingness to assist others.
  • Ability to adapt to changing needs and demands while remaining level headed.
  • Ability to take directions and to follow through on assigned work in a timely manner.
  • Maturity, confidence and tact, particularly when dealing with difficult issues or conflicts.
