Job Summary:


Duties/Accountabilities:


  • Places specific purchase orders for library books, audiovisuals and supplies for BC Cancer Agency/PHSA departments and libraries by telephone, fax or electronic format; completes and enters purchase orders into the system, arranges for appropriate approvals and forwards to Leader. Receives ordered materials.
  • Matches documents such as invoices and packing slips to purchase orders; maintains files of invoices, purchase orders and receiving documents; contacts appropriate sources such as external suppliers and vendors by telephone and or correspondence regarding matters such as missing invoices and overdue orders.
  • Assigns account codes such as cost centre codes to invoices, distributes invoices for approval and payment and liaises with Accounts Payable, Finance to ensure prompt payments are made. Reviews monthly VISA statements and matches amount to invoices and purchases.
  • Creates and maintains serial records for periodicals management in DBTextworks; submits new serial records to Librarian for review and approval and makes appropriate changes as directed.
  • Receives and gathers relevant workload and usage data from all Centres. Records statistics in the Workload Indicator spreadsheet and modifies as required
  • Maintains timekeeping records for all provincial library staff and submits to payroll. Receives and processes requests such as vacation and leave of absences and statutory holidays and forwards to Leader as required.
  • Liaises with departments and ensures materials such as journal volumes and theses' are prepared appropriately for submission to the binding vendor. Obtains pricing from the vendor and sends prepared materials for binding.
  • Assists with collection weeding and de-processing by generating the shelf list, verifying weeding criteria with the Librarian and ensuring withdrawn materials are removed from the catalogue and disposed of according to directions from Librarian.
  • Provides work direction and orientation for new library clerks on document delivery, circulation and processing procedures. Assists library clerks with technical and procedural issues and follows up with Librarian and/or Program Manager as required.
  • Assists with the maintenance and editing of web pages as required.
  • Performs other related duties as assigned.

Qualifications:

Education, Training and Experience


Completion of Grade 12 supplemented by completion of a recognized two year Library Technician Program and two years of recent related work experience or an equivalent combination of education, training and experience.

Skills and Abilities

  • Ability to keyboard at 35 wpm.
  • Ability to communicate effectively both verbally and in writing.
  • Ability to operate related equipment.
  • Ability to deal with others effectively.
  • Physical ability to carry out the duties of the position.
  • Ability to organize work.
