Administrative Assistant, Travel & Expense

Administrative assistants make sure that work runs smoothly for a team, a department, or senior executives, keeping them organized and providing day-to-day administrative support in the form of travel arrangements, calendar management, expense tracking, document preparation and correspondence.

An Administrative Assistant provides first-level administrative support while learning routines, acquiring experience and developing skills.

We will count on you to:

  • Provide secretarial and related administrative support services to the business to ensure adequate support to professional and management staff. Oversee the delivery of secretarial and related support services to the business under close supervision.
  • Create documents using PowerPoint, Excel, and Word to ensure all documents produced adhere to established standards. Prepare documents by collecting, inputting, and transcribing information.
  • Maintain correspondence and data files to ensure accurate recordkeeping.
  • Organize meetings and coordinate setup requirements by booking meeting rooms, creating meeting agendas, testing technology, ordering catering, etc. to optimize event management.
  • Take and relay phone messages to appropriate individual to support high level of customer satisfaction and communication.
  • Manage incoming and outgoing mail or other documents as instructed and deliver to appropriate parties in a timely manner.
  • Maintain confidentiality at all times, especially when dealing with sensitive information and internal policies.
  • Prepare expense accounts according to Company policies and procedures.
  • Assist in making travel arrangements for professional and management staff.
  • Provide support with new colleague onboarding including request for employee access ids, nameplates, welcome packages, distribution lists, etc.
  • Maintain an uptodate inventory of office supplies and submit orders as needed.
  • Support general office administration and ad hoc projects and/or events.
  • Assist team with a variety of administrative tasks as assigned.

What you need to have:


  • High School Diploma or higher level of education
  • 2+ years of relevant administrative experience, including arrangement of international travel, preferred
  • Cordial, naturally communicative and professional in all interactions
  • Palpable sense of ownership and reliability
  • Adept with Zoom and Microsoft Teams calls and videoconferencing mechanics
  • Experience with Outlook calendar support for executives
