Purpose_**The Property Manager position is responsible for the management of the Banks Owned office building and branch locations.

The Property Manager is involved in all aspects of day-to-day operations of the properties, including accounting, tenant relations, maintenance and repair, security, janitorial services, landscaping, snow removal, etc.

The Property Manager handles tenant complaints and service requests, and preventative maintenance.

The Property Manager is responsible for the preparation of the annual budget, reporting, capital planning and financial performance of the property.

The Property Manager will be responsible to manage all emergency situations and ensure appropriate escalation and response.

The Property Manager will work with the Facility Management team to manage the relationship between the Bank as a tenant and the major landlords of all domestic office locations which will include the development and delivery of an end-to-end service solution.

The Property Manager is responsible to manage building projects at the Banks owned office locations, with focus on large scale, multi-disciplined projects valued over $250,000.

The Property Manager is accountable for directing and coordinating all aspects of the building projects to include preparation of the budgets, schedules, award of contracts and overall management of the project work.

The Property Manager must ensure that the delivery of service is consistent with the ScotiaService Standards and Complaint Resolution Standards and Procedures and agrees to adhere to the Bank's Guidelines for Business Conduct.

Accountabilities_**- 1 direct report.

  • Lead & develop the Assistant Property Manager
  • Manage the Building Operators (3rd party Service Provider) including directing activities, establishing goals and objectives, performance evaluation and communication.
  • Coordinate with Senior Financial Analyst and Accounting Officer on building finances, perform financial control activities, including the development of annual operating budgets, performing monthly budget analyses and reforecasting allocations (as necessary), meeting annual targets.
  • Work closely with the Assistant Property Manager to develop and maintain preventative and corrective maintenance schedules and oversees maintenance activities.
  • Maintain positive tenant relationships through professional & effective responsiveness & proactive consideration of tenant issues, thereby ensuring that tenant expectations are being consistently met
  • Responsible for all relevant tenant communications
  • Accountable for the health & safety of operations within the building addressing immediately and orders to comply and Workplace Heath and Safety concerns.
  • Perform Annual Building Inspection activities.
  • Coordination of tenant events, tenant appreciation events & tenant meetings
  • Assist in the preparation & implementation of initiatives to increase & uphold the quality & effectiveness of tenant relations
  • Manage contracts related to building services to include but not limited the HVAC, Security Janitorial etc.
  • Ensure that all vendors providing services are under contract and all are entered and kept current in the Banks Contract Management system.
  • Manage & report nonconformances & critical incidents
  • Review and approve invoices.
  • Provide guidance and management support for any major building work and major shutdowns affecting the operation of the building such as power shutdowns, generator tests, fire alarm verifications and major building renovations. Communicate with Bank's department contacts and Key Stakeholders regarding major work or shutdowns that will directly affect their areas, ensuring all precautions are taken to avoid any loss to the bank (i.e. additional security, fire watch, supplementary AC etc.).
Project Management

  • Manage all aspects of Building projects as follows:
  • Preparing estimates and budgets, controlling the tendering process, and managing consultants and contractors through the construction process.
  • Control the budget and costs factors for each project by managing the Project Expenditure (PX) process, setting up and obtaining required approvals for project budgets, managing and directing the tendering process, controlling and managing expenses (both internal and from nonBank contractors and consultants), and acting as a control point to monitor all financial aspects during the course of a project.
