The
Administrative Assistant II exercises judgement and independence in the performance of administrative support to the Acquired Brain Injury Services team and the Program Services Manager


The principle responsibilities include:

responding to requests for information and channel communication to the appropriate person(s); communicating effectively with clients, team members and internal and external stakeholders; preparing reports including letters, memos, agendas, spreadsheets using advanced functions of Microsoft Office; maintaining/ordering a current inventory of required forms, stationary supplies and equipment; maintaining written and/or electronic calendar/schedules; administering and monitoring billing procedures and budgeting records; booking, coordinating and scheduling appointments, meetings, rooms, etc.; create and maintain nursing scheduling including replacement for sickness and vacation; collecting/compiling data as needed; managing program specific data bases; creating and maintaining accurate and confidential filing systems; scheduling interviews, preparing interview packages, preparing HR documentation; understanding of, compliance with, and commitment to, patient safety responsibilities and corresponding hospital plans, policies and procedures in order to ensure a safe environment for patients; other related administrative duties, as requested by the Managers.


Qualifications:


  • Completion of Grade XII or recognized equivalent
  • Completion of a recognized medical or business postsecondary secretarial arts program at the diploma level
  • Minimum of three (3) years related administrative/secretarial support experience
  • Experience in a Microsoft Office environment required
  • Knowledge of medical terminology required
  • Excellent organizational and time management skills
  • Excellent interpersonal and customer service skills
  • Excellent verbal and written communications skills
  • Good knowledge of health care, organizational/office practices, procedures, standards
  • Ability to produce high quality work in accordance with Hospital standards
  • Ability to maintain confidentiality
  • Ability to work well under pressure and use good judgment in assessing difficult situations
  • Knowledge of collective agreements an asset
