About the position
Imagia Canexia Health is currently on the lookout for an experienced Administrative Assistant.
This is a full-time position based in our Vancouver office.
What you'll be accountable for:
As a member of our team, you will take care of all administrative tasks related to:
Office coordination, Vancouver premises (40%)
- Supplies and premises:
- See to the procurement of stationery, snacks, etc.
- Maintenance of photocopier
- Management of office security (key inventory, alarm system coding, parking spots)
- Liaise with property management to assure proper maintenance, tidiness, and safety
- Management of petty cash
- IT matters and needs: act as a liaison for the Vancouver sites, with our Montrealbased IT resources
- Computer and peripherals inventory
- Team events and social activities: logístical support with
- Coordination of lunch orders
- Group reservations and hospitality arrangements
- Shipping
Contributions to other company functions (10%)
- Help distribute internal communications when needed
- Help with welcoming new employees and onpremise tasks as part of offboarding
- Provide light clerical support to our Finance department (POs, coding )
Laboratory support (50%)
- Organizing patient files, scanning test requisition forms and pathology reports, faxing reports
- Reconciliation of laboratory invoices and coordination with the finance department
- Archiving laboratory documentation
- Miscellaneous laboratory support such as business license renewals, coordinating Iron Mountain (document archival & secure shredding services), supporting lab security (maintaining Keycard inventory & alarm system programming)
About you

Requirements:
- Education: college or undergraduate degree
- Experience: 3+ years in a bilingual and laboratory environment
- Skills: MS office and GSuite, standard office procedures
- A people person and a team player
- A pragmatic, selfdriven, and dynamic collaborator with strong organizational skills, attention to detail, and a sense of costeffectiveness
- Able to travel between Vancouver offices (Kitsilano and UBC)
