We are looking for a Consultant, Vehicle Processing to join Element Fleet Management.

As the Consultant, Vehicle Processing, you will be held accountable for ensuring all Vendor invoice and PO reviews and processes are completed in an accurate and timely manner.


A Day in the Life- Daily direct interaction with the dealers and vendors in obtaining invoices and/or verifying the accuracy of the vehicle purchase and upfitting.- Ensure that taxes, title/registration and all miscellaneous fees charged by the dealer are correct.- Verify that all charges submitted by the vendor are received and processed in a timely manner to ensure the audit is not delayed causing back billing to our clients. Reconcile PO to factory invoice to Bill of sale, and to invoices.- Process exception items related to foreign transactions, lease vs company-owned transactions, manual supplemental billing exceptions, and tax exceptions such as luxury tax and tax exemptions- Prioritization of tasks is critical to ensure requested transactions such as client billing, vendor and dealer payment are handled expeditiously as there is a monthly billing cut off time frame that must be met to ensure the client is billed in a timely manner to eliminate back billing.- Responsible for verifying and validating documents provided by vendors.- Review the dealer delivery receipts and vendor bills to ensure accuracy prior to completing the audit.- Monitor and follow up reports for audits that have not been completed and vendor invoices noted as received and not processed. Communicate with the appropriate client consultants to keep them informed of any rejects/problems that may delay the activation of the client's bill.- Complete the Authorization form and work with Vehicle Processing to process cost adjustments when needed to ensure billing accuracy.- Enter payment information and supplemental billing information in the P&D system and reconcile the information to the invoice- Ensure Capping amount is accurate based on the PO and client exceptions.

Requirements:


  • College or Associates degree or High School Diploma with a minimum of 2year related Accounts payable & audit experience and Fleet Management Company experience
  • BA/BS degree in business, finance or related field preferred. Equivalent work experience may be considered in lieu of a degree
  • Intermediate skill level required with Excel and Word; Access a plus
  • Proven problemsolving skills with an analytical and inquisitive approach.
  • Excellent communication skills.
  • Demonstrate comfort with decisionmaking and willingness to make qualitative and quantitative judgements
  • Must be flexible, multitask and work in fastpaced environments.
  • Must be able to work independently and have good prioritization skills
  • Strong overall fleet business knowledge
  • Strong verbal and written communication, able to communicate internally as well as externally with customers
  • Excellent analytical and problemsolving skills. Must be able to identify root causes to problems and develop solutions to eliminate recurrence

  • Ability to work independently and as a team player
