Position Summary:
The Graduate and Postdoctoral Studies is seeking a Program Officer to administer the McGill-UAE Fellowships portfolio.

Offer support services to prospective and current Fellows (undergraduate research trainees, graduate students and postdoctoral fellows) with respect to their academic needs.

Provide advice on program requirements. Monitor, review and recommend admissions files for the Fellowship program. Liaise with research supervisors, academic and administrative units at McGill, and partner institutions in the United Arab Emirates. Process award payments. Facilitate the pursuit of academic goals and ensure the Fellows benefit fully from their University experience. Monitor student academic progress and provide guidance when issues arise. Plan and deliver events including orientation and meet-and-greets for Fellows. Produce reports to ensure compliance with donor requirements.


Primary Responsibilities:

  • Develop and implement strategies and initiatives linked to the McGill UAE program. Interpret, analyze and produce a variety of reports related to the program. Compile statistics, complete questionnaires and surveys for inclusion in reports.
  • Provide professional support services to prospective and current Fellows (undergraduate research trainees, graduate students and postdoctoral fellows) with respect to their academic needs. Provide advice on program requirements.
  • Review, analyse and make decisions on a variety of student affairs issues including eligibility for the Fellowships, admission and registration issues, transfer credits, etc. Provide advice to Fellowship recipients.
  • Facilitate the pursuit of academic goals and ensure the Fellows benefit fully from their University experience. Monitor student academic progress and provide guidance when issues arise.
  • Work with faculties to create or facilitate the development of new workshops, seminars and information sessions on variety of topics related to experiential learning and skills development.
  • Write, review, update and develop promotional material, including brochures, program documents, and the McGill-UAE program website.
  • Liaise with the UAE Embassy in Canada and the Presidential Court of the UAE. Build solid relationships with alumni and students and with UAE universities and institutions.
  • Produce reports to ensure compliance with donor requirements. Liaise with University Advancement when needed in respect to adjustments, clarifications and reporting to donor.
  • Produce financial reports and student status reports to present to the McGill leadership and the UAE partners.
  • Plan large meetings and conferences and special events, including logistics, invitation, catering and all necessary equipment and material. Record detailed minutes at meetings, make decisions and ensure followup and implementation of agreed decisions. Actively participate in meetings both at McGill and in the UAE providing recommendations and solutions.
Other Qualifying Skills and/or Abilities

Proven leadership, initiative, determination and creativity in solving problems. Ability to work independently and manage multiple projects with demonstrated strong planning, organizational and priority-setting skills. Strong communication skills and ability to interact positively and effectively on a professional level with internal and external parties. Demonstrated ability to work in a computerized environment, word processing, spreadsheets, databases, presentations, social media platforms and websites. English spoken and written. Spoken Arabic an asset.

Knowledge of French and English:

McGill University is an English-language university where day to day duties may require English communication both verbally and in writing.

The level of English required for this position has been assessed at a level # 4 on a scale of 0-4
