Your opportunity:


The Administrative Coordinator is responsible for the financial administration of research accounts for principal investigators, processing payment transactions utilizing FIS and HRIS, auditing monthly statements to ensure the accuracy of documents processed, resolving discrepancies and assisting professors with their expenditure planning.

The position provides administrative support to a number of professors, including handling correspondence, dealing with students and visitors, complex word-processing of technical material, updating of web pages, and event planning.


Your responsibilities will include:


  • Monitoring, recording, reconciling and/or reporting on funding accounts for grants and contracts.
  • Tracking the financial status of accounts
  • Processing payroll
  • Processing expense reimbursements
  • Acting as the first point of contact for general enquiries
  • Overseeing daytoday operational needs of the unit
  • Preparing draft employment letters using templates

Essential Qualifications:


  • Advanced College Diploma (3 years) or acceptable combination of equivalent experience.
  • Minimum three (3) years of relevant financial and administrative experience, preferably in a University environment.
  • Proficiency in University of Toronto administrative management systems (FIS and HRIS) or equivalent systems required.
  • Excellent computer skills including MS Office Excel (including accurately entering data, creating and manipulating spreadsheets, working with formulas), Word (including wordprocessing and preparation of documents of varying complexity and technical writing / transcribing).
  • Experience entering, maintaining, and retrieving information from databases.
  • Experience interpreting data requiring initiative and independent judgment.
  • Experience working with financial reports.
  • Experience with determining logístical details and activities for events

  • Excellent customer service and communication skills (verbal and written), and ability to communicate effectively with diverse groups, including students, faculty, staff.

  • Excellent organizational, prioritization and time management skills in order to meet competing deadlines.

  • Experience obtaining quotations for international grant and service agreements, including an understanding of intellectual property, privacy, and liabilities in a research environment.
