West Park Healthcare Centre helps patients get their lives back by providing specialized rehabilitative and complex care after a life‐altering illness or injury such as lung disease, amputation, stroke, and traumatic musculoskeletal injuries.


West Park is building a new hospital and transforming its 27-acre site into an integrated campus of care, enabling the hospital to evolve its rehabilitative programs to meet Ontario's future healthcare needs.


Qualifications:


  • Postsecondary studies in Business Administration or equivalent;
  • Continuing Education in Project Management preferred
  • 57 years' experience in an administrative role in a hospital
  • Advanced computer proficiency (Microsoft Word, Excel, Outlook, PowerPoint, Visio, Adobe Acrobat, and strong Internet research skills.
  • Recent project management/coordination experience preferably in a hospital setting
  • Attention to detail
  • Interpersonal, communications and organizational abilities;
  • Strong computer skills are a requirement.
  • Advanced proficiency in MS Word, Outlook, PowerPoint, Excel, Microsoft Project and Microsoft Visio
  • Exceptional communication (both written and verbal) and interpersonal skills.
  • Excellent presentation and reportwriting and minutewriting skills
  • Good decisionmaking ability, good judgment, initiative and diplomacy.
  • A proactive approach to problem solving and building positive working relationships.
  • Ability to anticipate, plan, prioritize, organize and follow up on multiple tasks and projects;
  • Ability to work independently and take initiative
  • Proven team player with demonstrated customer service and problem solving approach
  • Demonstrated comfort and experience in a fastpaced, deadlineoriented environment;

Accountabilities:•In collaboration with the Vice-President Strategy, Innovation & Chief Information Officer, co-ordinate and/ or
participate in various projects as assigned, to ensure that they are completed efficiently and effectively in support of achieving desired objectives, using the Centre-wide project management process and toolkit.

Specific tasks associated with project coordination include:

  • Reviewing and summarizing previous related reports
  • Establishing a project organizational structure and work plan
  • Developing terms of reference for work group as appropriate
  • Establishing and maintaining productive contact with the both internal and external stakeholders
  • Coordinating the development of communications plans, work plans, project plans, and Board of Directors materials
  • Providing project support to work group and tracking and following up on progress against the work plan
  • Providing written and verbal progress reports as required
  • Keeping uptodate project files and consolidating data and other information relevant to the project
  • Coordinating work and administrative routines by booking meetings, preparing agendas, scheduling appointments, locating and disseminating information
  • Preparing reports, documents, slides and other documentation and correspondence required for meetings
Provide administrative support to the Vice President Strategy, Innovation & Chief Information Officer and the CHRO including:

  • Managing calendar by responding to meeting requests, schedule and ensure all relevant materials are received and/or provided in advance of the meetings/events
  • Coordinating workflows to assure timely completion
  • Preparing PowerPoint presentations, excel spreadsheets, charts and general correspondence, ensuring professional, accurate, and timely completion;
  • Drafting communications, assisting with report preparation, and proof reading reports as required
  • Collecting data and other details to inform decisions and reports
  • Filing, general office duties; VISA reconciliations and expense reports
  • Course registrations and set up teleconferences, webcasts, webinars, and videoconferences
  • Liaises with the Administrative Professionals Team and other team support members as necessary to resolve administrative issues/concerns

Coordinating and support committee meetings including:

  • Organizing meetings, room bookings, invitations and confirmations
  • Ensuring that agendas and associated materials are prepared and distributed in a timely fashion
  • Ensuring that thorough and accurate minutes are recorded, distributed and filed and that the necessary followup is undertaken in a timely fashion.
Be aware of conditions and measures that may affect the safety of patients, residents, students, employees, volunteers, physicians and visitors including:

  • Compliance with the safety standards of the hospital and applicable legislation
  • Identification and prevention of safety issues and problems
  • Taking corrective action, where possible
  • Attendance at safety meetings/training/updates in accordance with the Centre's standards
  • Ability to work in a manner that exemplifies the core values of
