Job Brief:
At Air Canada Vacations, we're constantly on the lookout for talented people to join our team The receptionist will support the operation by being the first point of contact for all visitors at the Montreal location.
RESPONSIBILITIES:
- Answering, screening and forwarding incoming phone calls
- Receive, sort and distribute daily mail/courier deliveries
- Receiving visitors at the front desk by greeting, welcoming, directing and announcing them appropriately
- Order office supplies and keep inventory of stock
- Maintain office security by following safety procedures and controlling access via the reception desk (monitor logbook, issue visitor badges if required)
- Maintaining printers/machines, escalating problems to contact service personnel as required
- Manage and execute all social events such as: Brochure launches, Mother's Day, Christmas Party etc.
- Overseeing the process of creating employee identification cards
- Ensuring service anniversary letters and gifts are prepared and distributed
- Supporting in the recruitment for recruiting events
- Taking part and supporting Health and Safety Committee
- Reserving boardrooms for employees and client visits
- Offering refreshments to clients
- Ensure reception area is tidy and presentable, with all necessary stationery and material (e.g. pens, printer paper, brochures etc.)
- Ensuring boardrooms are organized and maintained throughout the day and prior to meetings and at the end of the day.
- Ordering lunches for meetings as requested
- Distribution of product brochures
- Ensuring any office maintenance issues are addressed i.e. lights out, temperature adjustments, leaks; and calling the appropriate resource to have resolved
QUALIFICATIONS:
- Proven work experience as a Receptionist, Office Administration or similar role
- Available from 8:30am
- 5:00pm
- Proficiency in Microsoft Office, Word, Excel, Powerpoint
- Experience managing social events
- Handson experience with office equipment (fax machines, printers etc.)
- Professional attitude and appearance
- Solid written and verbal communication skills
- Ability to be resourceful and proactive when issues arise
- Excellent organizational skills
- Multitasking and time management skills, with the ability to prioritize tasks
- Excellent Customer Service attitude
