Administrative Assistant to the
Founder / CEO.


SUMMARY
Reporting to the CEO, we are seeking a full-time, self-motivated, and detail-oriented
Administrative Assistant to provide comprehensive executive support.


The
Administrative Assistant will proactively support the execution and coordination of the CEO's administrative responsibilities across various companies and internal teams.

Critical to the success of this role will be strong administrative, organizational, and communication capabilities.

Additionally, in this role you will function as a key team member that provides administrative and operational support across various areas of the business and related entities.


RESPONSIBILITIES:


Responsibilities will include but not limited to:

  • Provide day-to-day schedule management for the CEO which would include working with both professional and personal calendar sets and circulating meeting invites
  • Execute on a variety of administrative tasks that will help facilitate the CEO's function. Such tasks include project work, reports, presentations, organization and preparation of internal and external meetings/events and meeting/event materials, correspondence composition, travel arrangements, completion of expense and related reports, and other tasks as assigned
  • Manage and complete expense and related reports monthly with accurate reconciliations
  • Coordinate and assist in ensuring meeting agendas and requirements are accurate, and that all details are complete according to the specific needs of the meeting; prepare meeting agendas and record meeting minutes
  • Complete ad hoc projects with quick turnaround times as required
  • Prioritize and manage multiple projects simultaneously and follow through to completion
  • Coordinate with internal team members across companies and with external contractors and vendors
  • Demonstrate strong ability to work independently while maintaining a high level of confidentiality

EDUCATION

  • Post-Secondary Degree, Diploma or Certificate in Business Administration or equivalent

SKILLS & EXPERIENCE

  • 3+ years of experience as an Executive and/or Administrative Assistant
  • Experience working with small to medium sized companies
  • Proven ability to meet multiple and/or unexpected deadlines in a demanding environment
  • Strong organizational skills that reflect the ability to perform, taking ownership of the position; demonstrated ability to prioritize multiple tasks seamlessly with excellent attention to detail
  • Adept at building relationships both internally and externally to leverage resources when needed
  • Sound judgement regarding confidential and sensitive matters
  • Strong communications/project management background to manage multiple projects at once
  • Excellent writing, editing, grammatical, organizational, and research skills
  • Excellent management, timemanagement, and problemsolving skills
  • Proficient in Microsoft Office (Outlook, Word, Excel, and Power Point), Adobe Acrobat
