Job Description:


The Client Services Project Coordinator role is responsible for providing professional level administrative support within our client facing project management team.

The Project Coordinator reports to the Director of Client Services and works with the Project Manager who manages multiple client cases at any given time.

As a key member of the project team, project coordinators will be a part of delivering exceptional quality work to our clients as well as within our internal teams.


Responsibilities:


  • Act as backup to Project Manager, continually meet project requirements (kickoff meetings, deadline management, client status reporting and other necessary project communication, and coordinates with the various operational teams) to deliver all project deliverables on time, within budget and at the highest quality standards.
  • Participate in the development, and implementation of a set of standards by which all client service staff operate to create a best in practice culture that allows for similar level of service regardless of the project staff assigned.
  • Research claim inquiries and appropriately communicate findings with clients, claimants, and/or other operational departments, research process issues and effectively communicate with project teams and other operational departments.
  • Provide project reporting and summaries, perform analysis of reporting and ensure quality assurance, draft claimant letters, draft project telephone scripts and website text, assist in development of business rules for claims processing and payment.
  • Complete quality assurance of processes, potentially claims processing to ensure comprehensive understanding of the claims process, and claims processing quality assurance (if required).
  • Perform data manicuring (if required).
  • Participate in the reconciliation of settlement trust fund accounts with the Disbursements team (if required).
  • The Project Coordinator will work with the Project Managers of Client Services as well as other operational departments to continually enhance service quality standards to meet and/or exceed client expectations.
  • This position is responsible for fostering a team environment and building cooperation between client services team members, and other departments to provide the highest quality service standards.
  • A critical component of the job is to manage and resolve complex tasks.

Requirements:


  • 1+ year work experience with direct client/customer contact in a professional environment, preferably in the legal field, for a service industry.
  • Bilingualism, French and English fluency.
  • Excellent verbal and written communication skills with a professional, calm demeanor.
  • Critical thinking skills and the ability to efficiently gather and process information in a fastpaced environment are required.
  • Bachelor's Degree from an accredited college or university.
  • Experience with MS Office Suite, specifically Word, Excel and Outlook.
  • Appropriately reacting to changing situations without a loss of effectiveness and enthusiasm for strategic initiatives and corporate goals.
  • Identifying problems and causes or analyzing how processes and procedures could be improved, collecting relevant information, and identifying possible solutions.
