Operations - Resident Manager, Property Management

THE TEAM


As local representatives of Gulf Pacific, the mission of the operations team is to uphold the highest standard of building maintenance in property management.

The operations team is responsible for maintaining a high level of communication with tenants to ensure their requests and concerns are addressed effectively and efficiently.


THE OPPORTUNITY


Reporting to the Property Manager, the Resident Manager will be responsible for the safe and efficient operation of the building and its common areas including the buildings Heating, Cooling and Ventilations systems.

As the Resident Manager, you will ensure all mechanical equipment is kept in excellent order by employing daily walk-throughs of all mechanical areas and common areas.

Accountabilities include supervision of service contractors, administrating preventative and corrective maintenance programs and diagnostic services pertaining to the environmental control systems within the building.


THE ROLE
As the Resident Manager, you will assist the team to perform the following:


MAINTENANCE DUTIES:


  • Ensure the common areas of the building are clean, free from obstructions, in good repair and exhibit an aesthetic appearance to tenant and their guests.
  • Ensure the grounds are:
  • Free of debris
  • Walkways are clean, including snow removal before 8:00 a.m. and during the day as necessary and the laying of ice melt/Ice salt as required
  • A desirable curb appeal is maintained, at all times for the property
  • Minor repairs are undertaken including (but not limited to):
  • Replacing defective:
  • Light bulbs/tubes in common areas and in vacant units
  • Faucet washers/taps/diverters
  • Stove and oven heater elements
  • Light switches and lighting fixtures
  • Replace all black (old) electrical plugs and covers
  • Locks and arranging for locks to be rekeyed
  • Plaster and drywall patching in vacant and occupied suites and common areas
  • Touchup painting in vacant and occupied suites and common areas
  • Suite painting at monthend turnover up to one (1) unit per month.
  • Miscellaneous plumbing including toilet/drain auguring, zone valve repairs/ replacement, minor temporary pipe repairs, replacement of toilet parts, etc.
  • Suite upgrades including
  • Replacing "older" lighting fixtures
  • Replacing bathroom vanities
  • Replacing bathroom and kitchen countertops
  • Rebuilding bedroom closets to allow for new bifold doors
  • Removing wallpaper and repainting
  • Repairing ceiling following pipe leaks or other water related damage
  • All items requiring repairs that do not require the services of a licensed trade.
  • Coordinate with contractors engaged to undertake scheduled maintenance other major repairs and building improvements. Resident Manager is responsible to check all work performed by the contractors and to confirm that the work has been performed satisfactorily.

ADMINISTRATIVE DUTIES:


  • Receive and verify the accuracy of invoices and goods & services received.
  • Submit invoices to the head office for payment.
  • Maintain accurate and complete files on all suites in the manner prescribed by head office.
  • Update and maintain a list of persons, organizations, all building contractors, and/or trades people to contact for various emergencies.
  • Submit a weekly/monthly computerized report of activities including but not limited to:
  • Work performed in the maintenance of lands and buildings.
  • Status of work performed on projects and tasks assigned by the Property Manager.
  • Assist the Property Manager in the preparation of the Annual Budget.
  • Submit a Monthly Report on the 1st working day of each month, as prescribed by the head office listing items including (but not limited to), a list of any significant maintenance completed in the month, any fire safety or insurance issues.
  • Collaborate with Property Manager to complete an annual inspection of all suites and maintaining a suite condition report for each unit in the building.
  • Capture and submit before and after pictures of repair and replacement work in the building for the monthly report.
  • Complete monthly computerized parking and pet logs and submit to the property management office.
  • Work orders must be completed in the electronic system with your comments and tenant's signatures in order to properly close the work orders.
  • Assist with tenant events, collecting monthly rent, delivering tenant notices/letters, and post building notices on elevators and around the building.
  • Collecting, banking, and recording all rents.

THE QUALIFICATIONS

The Resident Manager has:

  • Experience in property management and building operations.
  • Experience with Angus and Yardi Voyager/Breeze, strong computer skills with an
emphasis on Microsoft Office.
