Maintenance and Administration Project Specialist at our busy Remote Camp site. This role will support a camp of 4000 plus members. You will work with the Maintenance Manager and team supporting all HVAC, Electrical and General Maintenance teams.

This role will require you to work with a rotation of 14 days in camp, 7 days out. Sodexo offers a competitive salary, paid travel to site, extended benefits and paid vacation

Job Description:


Project Management:


  • Sharing relevant data and documentation with project team
  • Organization and leadership in ensuring projects are completed in a professional and efficient manner
  • Organizing and providing information to stakeholders on project status (schedule, cost, quality)
  • Being key point of contact for various working groups (internal team members, clients, subcontractors, etc.)
  • Developing indepth scope of work documents (identify timeframes, financials, expected outcomes)
  • Ensuring identification and availability of required project resources and equipment
  • Record keeping and maintenance of project files (project documentation such as schedules, resource lists, equipment/material lists, cost analysis, etc.)
  • Has strong facilitation skills able to coordinate project activities with stakeholders and those performing the work
  • Assisting in overseeing subcontractors, coordination as required
  • Assisting the Sr. Facilities Manager, Maintenance Manager, and Maintenance Planners with tracking and coordination of project activities
  • Creating and reviewing reports
  • Understanding formal escalation and review process

Financial

  • Works with Department Managers, Warehouse Coordinator and Procurement to control supply and ordering of materials
  • Tracks project costs (labour, materials, etc.)
  • Works with the Maintenance Management team to accurately estimate and forecast project ROMs, Specific Quotes, and ongoing project costs as work commences
  • Assists the Maintenance Management team and Financial Controller with project billing, including the review of project invoices from subcontractors and suppliers.

Client and Customer Satisfaction

  • Ensuring projects assigned are completed in a timely manner as defined throughout planning process
  • Listening and responding to client concerns to find solutions to problems

Health and Safety

  • Performs all work according to safe work practices that pertain to job/task, following SOPs, and using the proper equipment for any task
  • Actively participates in Sodexo's Health and Safety program by undergoing safety training/education
  • Constant and consistent encouragement to all employees to work safely
  • In conjunction with the Maintenance Manager and Health & Safety Manager, all incidents/accidents/hazardous conditions are to be investigated promptly, reports completed on time and submitted as required, and corrective actions taken
  • Ensures that all required equipment and protective devices are used in the correct manner
  • Responsible for assisting the Maintenance Manager in conveying policies and procedures to employees to familiarize them with Health and Safety responsibilities, safe work procedures, ensuring effective and consistent compliance
