Responsibilities

  • Bid distribution and management
  • Monitor bid search sites (i.e., MERX, Biddingo and others)
  • Manage the proposal inbox
  • Promptly disseminate opportunity information to key team members
  • Collect and distribute addenda
  • Followup with RFx recipients on bid decisions
  • Proposal coordination
  • Attend proposal development meetings to gather relevant inputs required for the proposal, CRM, and other databases
  • Review RFx requirements and develop proposal shells and drafts
  • Collect and include content from bid team members, e.g. resumes, core content
  • Proofread and edit documents and presentations for spelling, grammar, formatting, consistency, compliance and responsiveness
  • Develop infographics for proposals, presentations, and core content library
  • Coordinate with the administration team regarding the printing and sub of hard copy proposals
  • Followup with prospective clients on bid evaluation status
  • Conduct proposalrelated research and gather information from multiple sources
  • Manage multiple proposals ensuring strict adherence to deadlines
  • Work with stakeholders across the organization to produce proposals, presentations, and other marketing material in alignment with brand and quality standards' deliverables
  • Assist with the development of scopes of works and engagement letters
  • Administration
  • Maintain an uptodate library of resumes, project profiles, proposal content, presentations and graphics while following MNP brand standards. Ensure all internal and external documents adhere to the MNP brand standards
  • Maintain opportunities in the CRM and distribute periodic reports for the sales enablement team
  • Support with ad hoc proposal requests
  • Contribute to the development of new ideas and approaches to improve work processes
  • Maintain flexibility to work overtime as necessary
  • Act as a backup to other proposal team members as required

Skills and Experience

  • A university degree or diploma in business, communications, English, creative writing, journalism or another related field and/or 13 years of experience in a related role:
  • Bid search experience with Canadian tender sites, including MERX, Biddingo, Bids & Tenders, and other provincial sites.
  • Ability to review RFx information and translate the requirements into a proposal shell
  • Mailbox management
  • Solid proficiency with MS Word, PowerPoint, Excel, SharePoint, Teams, and Dynamics 36
  • Proven analytical, communication, organizational, and project management skills
  • Strong technical writing skills and a proven ability to write proposals are required
  • Exceptional communication and people skills, both formal and informal
  • Experience with Adobe InDesign and Photoshop would be an asset
  • Ability to work efficiently with deadlines and short timeframes, effectively manage time and priorities, and multitask effectively
  • Ability to collaborate well with team members and possess a willingness to learn
  • APMP designation is considered an asset
