    PRIMARY RESPONSIBILITY:

    The Exam Assistant/Receptionist provides administrative support to the programs and activities of Student Accessibility Services (SAS). This position performs a range of receptionist and clerical duties and is responsible for assisting and supporting exam coordination, securing alternate format materials, providing assistance to disability advisors, as well as providing general support to the office.

    SUMMARY OF DUTIES:

  • Provides reception and clerical support to the SAS staff.
  • Initiate the intake process by booking appointments, starting files, and gathering any available documentation and information provided by the student.
  • Assist the exam coordinator with the coordination of incoming exams, and occasionally proctor exams when scheduling gaps occur.
  • Provide appropriate information regarding Student Accessibility Services
  • First point of contact for instructors and other relevant staff on exam process.
  • Uphold the security and integrity of the exam process by assisting with the exam return and pickup process.
  • Coordinate the facilitation and processing of exams as needed.
  • Assist with note taker accommodations.
  • Assist, facilitate and support the purchase of alternate format textbooks and other learning materials as needed.
  • Contribute to the overall effectiveness of the office by performing other related duties as required.
  • ESSENTIAL QUALIFICATIONS:

    The successful candidate will have:

  • Diploma in Office Administration and/or equivalent in experience providing administrative support in an office environment
  • Knowledge of disability issues (physical and mental health), accommodations and the Ontario Human Rights Code
  • Ability to work with students who at times demonstrate a high degree of stress and anxiety
  • Willingness to work flexible hours including evenings and weekends
  • Willingness and ability to adapt and be flexible to meet the needs of students who often have unique or challenging circumstances
  • Willingness to become and stay well informed regarding the best practices and technologies that are needed to support students with disabilities
  • Ability to provide professional and courteous customer service to students along with a high degree of cultural sensitivity and cross-cultural awareness
  • Ability to handle multiple inquiries in a quick and efficient manner
  • Ability to maintain confidentiality and handle situations with tact and diplomacy
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint), emailing, calendaring, internet and database applications
  • THE FOLLOWING TESTS WILL BE ADMINISTERED:

    MS Word (Basic); MS Excel (Basic); Typing (30 NWPM)

    COMPETENCIES:

  • Significant customer service experience including exceptional communications (verbal and written), organizational, multi-tasking, time management, and problem-solving skills
  • Superior interpersonal skills, including discretion and good judgement
  • Experience making decisions and exercising good judgement independently
  • HOURS OF WORK:

    Monday to Friday 8:30am – 4:30pm
