Service Coordinator
Reports directly to the Service Manager. The Service Coordinator will be responsible for all functions of a project from start to finish.

Work with Service Team Lead, Service Technicians, Service Coordinators, Site Supers, Project Managers, Field Managers, and customers on specific project tasks.

Act as a back-up to other Service Coordinators when they are absent.

Duties and responsibilities include but are not limited to the following:

Education

  • Highschool Diploma or bachelor's degree/Diploma in Construction Management or Architectural Technology.
Years of Experience

  • Minimum 3+ years of experience in customer service.
Working Conditions

  • Office setting;
  • May require site visits which have exposure to hazards or physical risks that require knowledge of safety procedures and precautions;
  • Full Health and Safety training required (Working at Heights, WHMIS);
  • Work environment requires wearing PPE for all site and in other certain locations;
  • At times requires driving a company vehicle to visit sites, clients or suppliers; and
  • Flexible to work approved overtime as required.
Intermediate Level

  • This role is supportive, where the incumbent acts as liaison by communicating with external parties and assisting the Service Manager in organizing and coordinating all aspects of a project, during or after closeout;
  • Encompasses a high level of positive social interaction, communications and customer satisfaction skills;
  • Proficient using Microsoft Office, Outlook, and Excel;
  • Goal oriented, team player and committed to excellence;
  • Detail oriented and problemsolving skills;
  • Ability to read blueprints and knowledgeable of industry products;
  • Oversee Service Team Leads duties and assist as required;
  • Demonstrate State's core values and work in a team environment; and
  • Maintain confidentiality.
Job Specific Duties

  • Organize workflow to meet customer deadlines;
  • Organize large work orders and price service change orders;
  • Communicate with customers while investigating and solving problems as necessary;
  • Attend site walkthroughs and site meetings with builders, architects, and engineers as required;
  • Receive performance audit reports issued from site;
  • Communicate with customers to meet their service needs;
  • Send quotes to customers for work outside the scope;
  • Handle customer complaints, provide appropriate solutions and alternatives within a prescribed time limit, and follow up to ensure a resolution has been executed;
  • Direct requests and unresolved issues to a designated resource;
  • Relay messages and phone calls to the Service Manager;
  • Attend project kickoff and close out meetings;
  • Assist with the project closeout;
  • Make service appointments and constant follow up;
  • Create work orders and coordinate calendar invites for the Service Team;
  • Update deficiencies received from site, office, breakdown requests and walkthrough using Procore;
  • Work with all divisions to order materials and glass;
  • Order machines, scaffolds and swing stages;
  • Follow up pending service orders from suppliers;
  • Update pricing and blanket purchase orders;
  • Use Sage BI tracker for orders;
  • Receive packing slips, and use Sage to receive and provide invoicing to Finance Department;
  • Print window and door screens;
  • Update Service screen log, trim and hardware tracker;
  • Represent the company, as required, in business with customers, consultants, contractors and other public or private agencies;
  • Assist in administrating months end invoicing for billing coordinator; and
  • Any other tasks assigned by the Service Manager.
