ABOUT US:


Coast 2000 Terminals is Western Canada's largest, integrated logistics facility, linking cargo moved by rail, barge, and truck with global markets.

Coast2000 is a Western IntermodeX Enterprise.

Coast 2000 Terminals is seeking a Workforce Coordinator to join our Shared Resources team. The full-time position is based out of our Coast 2000 office in Richmond.


PURPOSE:


Reporting to The Director, of Safety and Shared Resources, the primary responsibility of the Workforce Coordinator is to facilitate relationships with employees and the union to build a positive, safe, and engaged work environment.

This position will be responsible for designing, maintaining, and managing workforce scheduling activities.

This role will require a committed self-starter who thrives in a changing and autonomous environment.


RESPONSIBILITIES AND ACTIVITIES:


Recruitment & Onboarding Responsibilities:

  • Create union postings, ensure all posting rules and timelines are adhered to, and confirm successful appointments based on seniority and qualifications.
  • Maintain all document templates and posting records.
  • Coordinate with Safety to ensure all new external hires are scheduled for required safety training.
  • Coordinate with Operational leaders to ensure correct coding of training hours for new hires.

Scheduling Responsibilities:

  • Undertaking the daily labour scheduling to meet operational requirements while adhering to the Collective Bargaining Agreements and Company policies.
  • Maintaining and updating appropriate staffing systems (i.e. Timekeeper and Scheduler).
  • Tracking, analyzing, and forecasting scheduling trends.
  • Acting as a central point of contact for the dayof Supervisors to communicate resource requirements to the workforce.
  • Oversee the annual bid vacation process, ensuring adherence to Collective Bargaining Agreements.
  • Providing supervisors with support related to staffing systems and annual bid vacation processes.
  • Responding to and actioning leaves, sick calls, and noshows.
  • Liaising with Operational leaders for each business unit communicating scheduling progress, challenges and outcomes.
  • Schedule workforce for mandatory training, and communicate with both the workforce and operational leaders to ensure adequate coverage during training.

Labour Relations Responsibilities:

  • Auditing disciplinary log and reporting issues to HR to ensure progressive discipline policies are being followed.
  • Work closely with Human Resources to ensure proper progressive disciplinary processes are followed and documented by Operations.
Reporting

  • Create and disseminate daily reports related to shift activities, staffing levels, and productivity.
  • In coordination with Human Resources, manage the administration of the Attendance Management Program.
  • Provide union with twice annual seniority list updates.
General

  • Oversee the coordination and communication related to union employee's absence due to medical leave, including keeping operations leadership updated as to employee status, ensuring all documentation has been received from employees, and facilitating the successful RTW of union employees returning from medical leave.

KNOWLEDGE, SKILLS & ABILITIES:


  • 23 years experience working in a unionized environment and interpreting collective bargaining agreements.
  • 12 years experience with workforce management (scheduling, dispatch, placement operations)
  • Comfortable in a fastpaced organization and capacity to manage ambiguity and change.
  • Excellent attention to detail, able to juggle and prioritize multiple tasks while delivering on commitments.
  • Intermediate user of Microsoft 365 suite of products
  • Strong communicator: able to communicate effectively with members of the workforce and management.
  • Effective interpersonal skills
  • Must be able to perform work in an atmosphere that may result in distraction and interruption of work routines.

WORKING CONDITIONS & PHYSICAL / SENSORY REQUIREMENTS:

This position will require a regular presence in all the Western IntermodeX facilities, including warehouses, container yards, storage yards and other terminal locations.
