CUPE 5791 Job Family Operational Services Category Staff Number of Vacancies 1 Position Summary
Reporting to the Manager, SIS Credit; this position is responsible to perform a variety of competing administrative and program support duties, which require a broad range of skills and knowledge of University regulations as well as CCE policies and procedures.
This position covers a broad portfolio which includes admissions, registration support, invigilation and scheduling support, for the Centre for Continuing Education.
This position has a shared responsibility for all support services provided by the unit to various internal and external stakeholders.
Other duties include:
Coordinate and perform a range of staff and operational support activities for the unit, including:
- Exam invigilation support for distance learners in CCE-Administered courses
- Provide scheduling support for courses administered by CCE via multiple delivery modes: facetoface, online, LIVE, blended, videoconference, remote as well as courses offered in partnership at Regional Colleges
- Process payments and issue receipts for students
- Serve as a liaison with other departments and programming units in the resolution of daytoday administrative and operational situations with respect to admissions, registration, academic advising appointments and exam invigilation
- As appropriate to the position, review and process student records and/or documents; review, compile and update student information needed for registration; enter and prepare information and reports using appropriate resources and systems
- Perform a wide variety of assignments which are confidential in nature; use technology effectively to enter data, draft, edit, revise, and print letters, tables, reports; editing, copying and distributing correspondence, reports, etc.
- Establish, maintain, process, and update files, records, and other documents
- Perform miscellaneous job-related duties as assigned
- Grade 12 supplemented by the successful completion of a recognized business course, combined with a minimum of three years' experience directly related to the duties specified. An equivalent combination of education and experience may be considered
- Demonstrated knowledge of and skill in the use of Microsoft Office software including Word, Excel, Access, and PowerPoint is required
- Strong working knowledge and skill in the use of Banner (i.e. Admissions, Registration, Scheduling), UR Docs/Content, Data Collection Utility (DCU), Visual Schedule Builder (VSB), UR Courses and UR Self-Service, Caspur reports, GroupWise and Fast or similar database experience is required. Strong working knowledge of a different complex database will be considered
- Strong database and records management and maintenance skills
- Demonstrated knowledge of postsecondary student records principles, policies and procedures
- Knowledge of the University community, programs and administrative offices
- Demonstrated knowledge of University policies and procedures, including admissions, registration and online course exam invigilation policies
- Demonstrated knowledge of and skill in office practices, principles and procedures
- Ability to make effective administrative/procedural decisions and recommendations
- Ability to deliver and maintain excellent customer service at all times
- Ability to develop and maintain strong working relationships (with internal administrative counterparts, instructors, partners and staff as well as those external to CCE and the University)
- Ability to consistently organize, coordinate and balance multiple competing demands and responsibilities
- Ability to maintain confidentiality of records and information
- Ability to communicate effectively, both orally and in writing
- Ability to create, compose, and edit written materials
Primarily Monday to Friday from 8:15 am to 4:30 pm, with the possibility of evening/weekend hours at peak periods.
