DESCRIPTION

  • Under the supervision of the VP, Business Development, the Administrative Assistant will provide administrative and operational support to the VP BD and the Director, Industrial Partnerships. The incumbent will also support the general administrative needs of the Corporate Secretary.
    RESPONSIBILITIES
  • Produce documents, including letters, contracts, research reports, presentations, spreadsheets, etc. (writing, reading, correcting, formatting and finalising documents).
  • Organise and follow up on meetings of various committees: send invitations, make reservations, ensure facilities and supplies are in place, and document, distribute and maintain minutes and associated materials
  • Design, maintain and manage computerised filing systems for documentation (SharePoint)
  • Provide administrative support to the VP, including managing schedules, travel, expense accounts
  • Ensure timely flow of information to groups through the design, implementation and use of effective information management techniques, reporting and tracking of projects/tasks, creation of sharing tools
  • Advise department staff on internal resources such as forms, tools, templates, processes and procedures
  • Be a trusted safety collaborator; adhere to and sponsor safety and environmental rules and procedures.

QUALIFICATIONS

  • College diploma in administration or office automation;
  • Minimum of 5 years administrative support experience in a relevant field or equivalent combination of education and experience;
  • Expert level office skills and proficiency in Microsoft Office.

SKILLS

  • Proven ability to maintain a high level of confidentiality and integrity, and demonstrate good judgment;
  • Ability to propose and initiate tasks, to multitask and prioritise effectively, while working with mínimal supervision;
  • Strong organisational, communication, teamwork, and interpersonal skills;
  • Proven oral and written communication skills with high standards of quality in English and French (French is an asset);
  • Ability to produce and work with graphics and images (asset);
  • Resilience, adaptability to changing priorities.
