PURPOSE/OVERVIEW:


As part of World Renew' Global Directorate, this role serves as primary administrative support to and point of contact for World Renew Canada's Executive Director, and secondary support to WR USA's Executive Director


This role serves as the primary administrative support to and point of contact for World Renew Canada's Executive Director including serving as the administrative support and liaison with the Canadian Boards.

This role serves as a strategic administrative partner to World Renew Canada's Executive Director and coordinates World Renew Canada administrative operations, involving its teams, with US and field office teams and coordinates and organizes World Renew events and functions as directed.

This is an on-site role that will provide some flexibility while balancing organizational requirements.


KEY RESPONSIBILITIES:


Executive Support

  • Provide general office administrative support (communication and coordination) for the Executive Directors, and the World Renew Boards and Joint Ministry Council.
  • Provide travel and logístical support for the Executive Directors, including expense reporting.
  • Budget preparation and expense management-manage and administer Executive Director's Office budget and expenses like preparing annual budgets, prepare quarterly projections and monitor expenses monthly, quarterly.
  • Prepare, including drafting and editing, correspondence, presentations, and reports as assigned. Support Executive Director with internal and external communications.
  • Monitor and manage correspondence, calendar, tasks, creating and ensuring effective and efficient workflow via multiple channels and platforms. Communicate information on behalf of the director to relevant recipients.
  • Work with appropriate teams to ensure that information is correct and up to date on applicable web sites, as applicable.
  • Respond to requests for information and materials, coordinating with other staff as needed across the organization.
  • Liase and support relationships with key stakeholders, networks and entities, including within the denomination, networks, alliances and other foru; capture and update information into database systems, as applicable.
  • Organize and maintain all correspondence, files and official organizational records.
  • Prepare, process and track invoices, cheque requests and expense reports as applicable.
  • Prepare daily/weekly briefings for the Executive Director on projects, meetings, conferences, and other activities.

Board Support

  • Plan and execute the process for recruitment of agency board members, effectively liaising with denominational classis, diaconal conferences, and other groups to achieve a diverse delegate and member at large agency delegate board membership, to ensure alignment with denominational and agency diversity goals.
  • Coordinates activities and events with World Renew teams and US counterparts for Board meetings and events tasked to the Executive Director/Board.
Organize, coordinate and assist in the preparation and distribution of all agenda materials for assigned agency boards, Council of Delegates, Synod and/or committees, record and distribute minutes


Event Coordination

  • Coordinate and organize aspects of special events (e.g., researching and choosing venues, arranging travel and transportation of attendees, collecting and organizing event material and other necessary logistics).
  • Maintain calendars, schedule appointments and coordinate all logistics for internal and external meetings and conferences, including travel, as requested.

Education & Experience

  • Administrative coursework and college or university studies preferred.
