Executive Assistant to President & CEO

The Executive Assistant will provide executive level administrative support to the President & CEO. In this role, a high degree of confidentiality and good judgment is required.


Responsibilities:


  • Updates executives' daily checklists.
  • Plans, coordinates and ensures the schedules of the executives are followed and respected to help facilitate executives' ability to effectively lead the company and respective teams.
  • Works closely and effectively with the executives to keep them well informed of upcoming commitments and responsibilities, following up appropriately.
  • Engages thoughtfully and diplomatically with others, providing smooth communication with internal departments.
  • Prioritizes conflicting needs; handles all matters expeditiously, proactively, and followsthrough on projects to successful completion, often with deadline pressures.
  • Project manage quarterly deliverables including formatting materials, and board mailings.
  • Manages corporate sporting and event tickets.
  • Maintains and organizes extensive digital filing system.
  • Handles highly sensitive and confidential matters as part of daily duties.
  • Follows up and acts as a liaison with various individuals both internally and externally, at all levels of the organization (including board members and external stakeholders).
  • Coordinates booking conference rooms/meeting rooms/arranging for catering services, technical equipment and materials as appropriate.
  • Manage travel arrangements as required.
  • Ad hoc duties as required.

Qualifications:

  • 7+ years experience providing executive level administrative support to senior executives.
  • Advanced computer and technology skills proficient in Word, Excel, PowerPoint, Outlook and the ability to proactively manage Calendar.
  • Experience with Diligent preferred.
  • Quick learner with ability to effectively communicate, both verbally and in writing, with a wide variety of people at all levels within the business.
  • Able to deal with sensitive business information in a confidential and professional manner.
  • Strong interpersonal skills, as well as professional demeanor.
  • Ability to quickly develop strong working relationships with executives within the business.
  • Superior organizational and time management skills, with the ability to prioritize and multitask daily activities.
  • Solid business writing skills, with a strong attention to detail.
  • Able to work in a highly organized manner where detail, accuracy, urgency, confidentiality and discretion are critical with mínimal supervision.
  • Demonstrated ability to work effectively in a fastpaced environment, and juggle multiple priorities.
  • Strong work ethic, trustworthy and a team player.
