JOB SUMMARY:

Reporting to the Records and Privacy Officer, the Records Centre Coordinator oversees the day-to-day operations of the TVDSB Records Centre, which issues official documentation to inactive students, and stores archives, assessments, and records from departments for the duration of their lifecycle.


QUALIFICATIONS:


  • Oversee the daytoday activities of the Records Centre;
  • Provide guidance to the Records Centre Assistant and Records Centre Clerk on questions related to transcripts and graduation requirements;
  • Ensure that any records issued by the Records Centre adhere to Ministry and Board standards;
  • Lead any complicated searches that may require escalation or the involvement of the Records and Privacy Officer, Superintendents, Senior Administration, and/or Principals;
  • Respond to requests from third parties for psychological or speech and language assessments, as well as requests from law firms;
  • Coordinate the shipment of inactive records to the Records Centre, ensuring that records are kept for their lifecycle, and obtaining destruction approval when necessary;
  • Keep inventory list up to date and accurate to include proper description, records series, and destruction dates;
  • Process transcript and other requests during busy periods (November to March);
  • Respond to Ontario Student Record requests from both internal and external schools;
  • Basic understanding of records management and privacy laws;
  • Complete historical requests; and
  • Other duties as required
  • Experience working within a secondary school environment and/or alternative and continuing education, dealing primarily with records and students
  • Experience working within TVDSB is an asset;
  • Experience in a coordinating role overseeing largescale, ongoing projects involving multiple departments is an asset
  • Experience creating graphs, charts, templates, etc. in Microsoft Excel
