Position:
Lease Billing Analyst (Retail Property Management)
Reports To:
Vice President, Recoveries & Billings
Position Summary
We are seeking a detail-oriented Lease Billing Analyst (Retail) to manage lease data, rent roll setup, and tenant billing for our retail property portfolio in Yardi. This role requires strong lease interpretation skills, high accuracy in billing configuration, knowledge of Yardi and close collaboration with Property Management, Leasing, and Legal teams to ensure timely, compliant, and audit-ready billing.
Key Responsibilities
Lease Data Intake & Interpretation
- Review and interpret retail lease agreements, amendments, renewals, and abstracts.
- Validate tenant, unit, term, rent, escalation, and additional charge details against executed documents and system records.
Rent Roll Setup & Ongoing Maintenance
- Create and maintain tenant profiles and rent rolls in the property management system (Yardi).
- Configure base rent, scheduled escalations (including CPI), prorations, and changes related to renewals, amendments, move-ins/outs, and vacancies.
Ancillary Charges & Recoveries
- Set up and maintain CAM, tax, insurance, and utility recoveries.
- Ensure accurate allocation of shared and recoverable expenses in accordance with lease terms.
Billing Rules & Cycle Management
- Define and maintain billing schedules, invoice timing, due dates, grace periods, and late fee rules in line with company policy.
- Ensure compliance with monthly, quarterly, and annual billing cycles.
Quality Assurance, Controls & Approvals
- Perform QA reviews, reconciliations, and validation checks prior to invoice release.
- Document changes with clear audit trails (date, reason, and approval).
- Support internal reviews and audit requests with well-organized digital records.
Tenant Statements & Communication
- Prepare and distribute tenant statements and invoices.
- Communicate billing changes, rent increases, and new charges to tenants in a timely and professional manner.
Cross-Functional Collaboration
- Work closely with Property Management, Leasing, and Legal teams to resolve discrepancies, clarify lease terms, and ensure billing accuracy.
Qualifications
- Diploma or degree in Accounting, Business Administration, or a related field.
- 2–3 years of experience in retail property management, with strong ability to read, interpret and apply retail lease agreements to billing structures and system configurations in Yardi, including terms, spaces, rent schedules, escalations, percent rent and critical dates that affect commencement dates and charges.
- High attention to detail to ensure rent-roll accuracy and the ability to audit numbers and reconcile discrepancies.
- Strong written and verbal communication.
- Strong MS Excel skills and exceptional attention to detail, organization, and time management.

Pay and Benefits
The annual salary range for this role in the primary location is CA $60,000 - CA $70,000. This salary range may be inclusive of several career levels at NADG and will be narrowed during the interview process based on a number of factors, including the candidate's experience and qualifications. Specific benefits and details about what compensation is included in the salary range listed above will vary and can be discussed in more detail during the interview process.
