The Maintenance Purchaser and Material Coordinator will assist maintenance and operations teams in their day-to-day organization of material delivery and inventory.

In this position, you will be responsible for ensuring teams have the materials required available at all times for maintenance, repair, service, or installations.

This role is key and will enable Vitrum Glass to be on time with quality glass products.


Shift Schedule:
Monday to Friday 7:00am - 3:30pm


Essential Duties and Responsibilities:


  • Initiates purchase orders (PO) in the system, according to the Purchase Requisitions and in alignment with standard procedures and confirms delivery with suppliers, monitors and tracks supplier performance to purchase order requirements. Update CMMS
  • Communicates directly with service providers, vendors, and maintenance contractors to schedule repairs, servicing, preventive maintenance, and other projects
  • Provide a timely response to all requests and inquires
  • Tracks goods received to verify appropriate delivery and ensure invoice processing
  • Oversees supplier performance (on time delivery, quality, lead time) and resolves performance issues
  • Maintain an economically justified level of maintenance supplies inventory to assure efficient and continuous operation in maintenance
  • Maintain constant communication with maintenance staff to assess their supply requirements
  • Develop, investigate and evaluate current and future sources & costs of supplies; request quotes for those items not covered by any existing purchase agreements including obsolete parts; contact potential suppliers and negotiate most favorable proposals
  • Continuously work towards streamlining the PO process
  • Performing receiving transactions, verification, kitting and putaway
  • Process and distribute invoices and shipment paperwork for payment and records
  • Ship components for repair, warranty service, or other purpose
  • Set up and maintain inventory records in the maintenance IT systems
  • Ensure the onhand inventory matches records of inventory by performing inventory counts and ensuring processes for tracking are well used
  • Maintain inventories and replenish as needed all maintenance department consumable supplies
  • Support the needs of manufacturing operations to improve quality by using metrics, lean methods, and engagement with technical teams
  • Pitching in when needed to assist in other functional areas of our business
  • Monitor and control all recyclables: batteries, bulbs, cutting torch tanks, electronics and all other controlled materials used in the maintenance department
  • Assists with planning/scheduling effort for major plant turnaround, projects, and equipment overhauls

Knowledge/Experience and Skills:


  • 2 to 5 years' experience with order management in an ERP, CMMS, or similar system
  • Exposure to maintenance operations or similar technical fields
  • MS Office experience
  • Strong multitasking and prioritization skills with mínimal supervision
  • Strong written and verbal English skills
  • Detailoriented, comfortable with ambiguity
  • Ability to work in a fast paced environment and keep organized
  • Able to take direction and follow through completion, yet also selfmotivated to do a great job
  • Forklift skills and / or ticket an asset
  • Ability to walk and lift up to 50 lbs
