Wilkar Real Estate Management Inc. is a real estate management company whose offices are located in Westmount. However, most of the employees have the option to work remotely. Occasionally, employees are called upon to visit the buildings or the office, depending on the situation.
We are looking for an Administrative Assistant to work with a team of property managers who manage a number of prestigious condominiums in downtown Montreal.
The employee must be bilingual and have a minimum of 1 year of professional administrative experience.
Roles, Responsibilities and Activities:
- Taking dictation and writing of minutes of Board meetings
- Maintain and update the current filing system and database (lease copies, contact information, service contracts, bylaws, documents, etc.)
- Handle administrative correspondence through the communication portal or by phone (general inquiries, complaints, rule violations, document requests, etc.)
- Organize moves, manage key/magnetic chip/garage key requests, update intercom systems as requested
- Sending general communications, following approval by the Administrative Manager and/or the Manager
- Assist the Manager with specific tasks as required
Desired Qualifications:
- Minimum 1 year of relevant experience
- Excellent command of the French and English languages (oral and written)
- Experience in customer service
- Recognized as a good team player
- Excellent leadership and communication skills, proactivity, priority and stress management, positive mindset
- Computer literate
- Ability to adapt to learning new operating systems
- Valid driver's license
